Hospitalist Program Coordinator

The Hospitalist Program Coordinator is a vital role within the hospital, providing administrative and operational support to the Hospitalist program. This program consists of physicians and Advanced Practice Providers who manage the care of inpatients throughout their hospital stay. The coordinator is the key point of contact for the hospitalist team, staff, and various departments.

Essential Duties & Responsibilities:

  • Program Administration and Support:
  • Assist the CMO with program implementation and ongoing operations.
  • Manage hospitalist schedules, ensuring coverage and tracking requests for time off and continuing medical education (CME).
  • Facilitate onboarding activities for new hospitalist providers and team members.
  • Maintain important program documents and resources.
  • Coordinate meetings and take minutes to document discussions and action items.
  • Monitor and support daily operations regarding physician signatures, assist the medical staff department in provider credentialing, physician completion of medical records and physician completion of daily billing.
  • Communication and Liaison:
  • Serve as a central point of contact for the hospitalist team, liaising with internal departments (nursing, billing, payroll) and external partners.
  • Communicate important announcements and updates to the hospitalist team.
  • Facilitate communication between the hospitalist program and the Medical Staff Office regarding credentialing and provider enrollment.
  • Facilitate coordination and communication between the practice and community PCPs/Consulting Specialist as needed, including providing the H&P/Discharge summaries to the local physicians.
  • Serve as liaison between the practice and the community primary care physicians, as well as supporting market efforts and the hospital priorities to ensure retention of existing referrals and future growth.
  • Assist case management in setting up post discharge follow up; assist in patient experience engagement, and other follow-up tasks, as necessary.
  • Clinical and Performance Management:
  • Track key performance indicators (KPIs) for the program and prepare reports.
  • Assist with initiatives to improve workflow processes, communication, and program standards.
  • Participate in quality improvement projects as needed.
  • Conduct patient satisfaction surveys and analyze results.
  • Other Duties:
  • Manage hospitalist call schedules.
  • May assist with hospitalist patient care coordination.


Education: Associate's degree in Healthcare Admin., Business Admin or related field required. Bachelor's degree Science in Healthcare Admin., Business Administration or related field preferred.

Experience: 5 years experience in Healthcare experience.

Additional Experience Preferred

  • Strong understanding of hospital operations and procedures.
  • Excellent communication, interpersonal, and organizational skills.
  • Proficient in Microsoft Office Suite and Electronic Medical Records (EMR) systems (preferred).
