Job Overview:
We are seeking a skilled and organized Secretary to join our team and provide administrative support to ensure efficient operation of our office. The Secretary will undertake a variety of tasks ranging from answering phone calls, managing correspondence, scheduling appointments, and supporting other staff members. The ideal candidate should be detail-oriented, possess excellent communication skills, and have the ability to multitask effectively in a fast-paced environment.
Responsibilities: Administrative Support: Provide administrative support to ensure efficient operation of the office. This includes handling incoming calls, managing correspondence, and organizing documents and files.
Scheduling: Coordinate and schedule appointments, meetings, and events for management and staff members. Ensure that all appointments are recorded accurately and efficiently.
Communication: Act as a point of contact between management, staff, clients, and external partners. Facilitate communication by responding to inquiries, redirecting calls, and relaying messages as necessary.
Office Management: Assist in the management of office supplies and equipment. Order supplies as needed and ensure that office equipment is functioning properly.
Travel Arrangements: Coordinate travel arrangements for staff members, including booking flights, hotels, and transportation as needed.
Meeting Support: Prepare agendas, materials, and presentations for meetings. Take minutes during meetings and distribute them to relevant parties afterward.
Data Entry: Perform data entry tasks accurately and efficiently. Input information into databases, spreadsheets, and other documents as required.
Qualifications:
Proficient in MS Office (Word, Excel, Outlook, PowerPoint) and other relevant software.
Excellent communication skills, both verbal and written.
Strong organizational skills with the ability to multitask and prioritize tasks effectively.
Attention to detail and high level of accuracy.
Ability to maintain confidentiality and handle sensitive information with discretion.
Strong interpersonal skills and ability to work well in a team environment.
