Salary Schedule
Under general direction, the purpose of this position is to perform complex clerical and data entry work assisting work locations, employees and applicants with various human resources transactions. Operates database systems to enter, change and/or maintain such information. Some analysis of solutions to situations is necessary to complete work. Performs related work as directed.
EXAMPLES OF ESSENTIAL FUNCTIONSResponds to internal and external customers in a timely, accurate, courteous and empathetic manner representing OCPS in a positive light.Receives requests from worksites, employees and applicants regarding numerous personnel action requests; reviews various source documents for adherence to Employment Services/Payroll procedures, rules and regulations and processes as appropriate.Creates and updates information including new hire, promotion, demotion, transfer and other personnel transactions within the various human resources systems (e.g., SAP, Issue Trak and iCIMS).Advertises administrative positions through iCIMS, ensuring job descriptions are attached and accurate and all proper approvals have been requested and received; notifies hiring authority of the hiring timeline.Coordinates interviews with hiring authorities to include scheduling, document preparation and all corresponding actions in iCIMS and the HR tracking database.Assists in ensuring interview packets are complete and filled out appropriately. Provides notifications to selected and non-selected applicants, accordingly.Completes all onboarding actions and documentation required for School Board approval.Coordinates scheduling pre-employment orientation for selected candidates, when needed.Maintains files on various HR related documents including recruitment, personnel actions, and other records.Assists with department records request as needed and follows proper records retention guidelines.Provides guidance and advises employees in workgroup.Meets data entry deadlines on an accurate and daily basis.Works with users to solve day-to-day problems, setting up and assisting with the iCIMS Database.May be required to assist Manager or Senior Manager with assigned duties as directed.May be required to assist with the reappointment process or annual salary increases.Performs less routine clerical duties as needed.Operates a computer to enter, retrieve, review, or modify data; utilizes SAP, word processing, spreadsheet, database and software programs.Operates a variety of machinery, equipment, and tools associated with department activities, which may include a printer, copy or fax machine.Responsible for keeping up to date on current technology, as job appropriate, being used by OCPS. With the support of the district, attends training to ensure skill level in various technologies is at the level required to perform in current position.Responsible for timely and accurate information they maintain as part of their job responsibilities.The list of essential functions, as outlined herein, is intended to be representative of the tasks performed within this classification. Includes performing subsequent actions in relation to these computational operations.Human Interaction: Requires the ability to apply principles of persuasion and/or influence.Equipment, Machinery, Tools, and Materials Utilization: Requires the ability to operate, maneuver and/or control the actions of equipment, machinery, tools, and/or materials used in performing essential functions.Verbal Aptitude: Requires the ability to utilize a wide variety of reference and descriptive data and information.Mathematical Aptitude: Requires the ability to perform addition, subtraction, multiplication, and division; ability to calculate decimals and percentages; may require ability to utilize principles of fractions and/or interpret graphs.Functional Reasoning: Requires ability to apply common sense understanding to carry out instructions furnished in written, oral or diagrammatic form. Requires application of various established rules and procedures and decisions that may affect quality and accuracy of results.Situational Reasoning: Requires the ability to exercise the judgment, decisiveness and creativity required in situations involving evaluation of information against measurable or verifiable criteria.ADA COMPLIANCEPhysical Ability: Tasks involve the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (5-10 pounds). Tasks may involve extended periods of time at a keyboard or workstation.Sensory Requirements: Some tasks require visual perception and discrimination.
