POSITION TITLE: Student Information System Coordinator
SCHOOL/DEPARTMENT: Technology
SALARY: Salary Grade 71 plus supplement
FLSA STATUS: Exempt
REPORTS TO: Executive Director of Information and Instructional Technology
SUPERVISES: None
WORK WEEK SCHEDULE: Monday - Friday, Some evenings and weekend hours
WORK HOURS: 40
NUMBER OF MTHS PER YEAR 12


POSITION PURPOSE:

The provided information outlines various responsibilities related to coordinating Student
Information System (SIS) activities and ensuring compliance with the North Carolina
Department of Public Instruction (NCDPI). The role and responsibilities of the SIS Coordinator evolve with the SIS and the needs of the PSU.


Coordinating SIS Activities:

Coordinates SIS activities for the Public School Unit (PSU) in compliance with the North
Carolina Department of Public Instruction (NCDPI).


Overseeing and Training Data Managers:

Proactively oversees, learns from, trains, practices with, and coordinates school-based
Data Managers and other SIS users, fostering a culture of continuous improvement.


Ensuring Compliance and Data Accuracy:

Ensures compliance with NCDPI student information mandates and state reporting
requirements by conducting periodic audits and actively utilizing the SIS and relevant
third-party software to maintain data accuracy.


Course Code Management:

Manages and creates course codes for all schools in accordance with the NCDPI.
Workflow Tracking and Collaboration:

  • Creates a yearly SIS workflow tracking for the data managers to follow.
  • Works collaboratively with the Testing and Accountability lead to ensure completion of State ABC Accountability tasks by each school.
  • Works collaboratively with the Exceptional Children’s Department to ensure alignment with the EC student information system.

Collaboration with Stakeholders:

  • Works collaboratively to ensure accurate reporting of teacher activities/classes taught in each school.
  • Works collaboratively with school-based stakeholders to ensure accurate reporting of drop-outs.

Backup Data Manager and Technical Support:

  • Serves as a backup Data Manager when a school has a vacancy or needs support.
  • Professional Development and Training:
  • Attends NCDPI SIS training and support meetings to disseminate information and training to the PSU.
  • Obtains the current SIS technical support qualifications.

User Access Management and Reporting:

  • Manages user access to the SIS with security roles.
  • Fulfills student data reporting requests.
  • System Administration:
  • Supports the NCEDCloud system users.
  • Works with middle school and high school scheduling teams on the Master Schedule.
  • Supports elementary school scheduling.
  • Administers the CEDARS Student UID system.
  • Administers the NCID system.

EDUCATION, TRAINING AND EXPERIENCE:

  • Some formal education from an accredited institution in education administration, business administration, public relations, or a related field.
  • At least three (3) years of experience working with relational tables databases.
  • At least three(3) years of public school work experience.

PREFERRED QUALIFICATIONS:

  • High school data management work experience.
  • Working knowledge of Google Mail and Documents.
  • Working knowledge of Microsoft Excel.
  • Ability to establish and maintain moderately complex records and files and to prepare reports from such data
  • Ability to communicate effectively both orally and in writing
  • Ability to exercise independent judgment and initiative in applying standards to a varietof work situations
  • Ability to establish and maintain effective working relationships with other employees and the general public.


WORKING CONDITIONS


PHYSICAL DEMANDS:
Work is considered light physical work requiring the exertion of up to 20 pounds of force.


WORK ENVIRONMENT:
Employees in this position are required to work indoors and come into direct contact with OCS staff, students, and the public.
