Job Summary:
The University Information and Technology, Administrative Modernization Program ( AMP ) is seeking a Grant Management Program Lead. This is a full-time (1.00 FTE ),12-month, professional faculty position.

As a key driver of the Oregon State University ( OSU ) digital and business transformation effort, the Grant Management Program Lead will assist in implementing a comprehensive pre-award and compliance electronic Research Administration (eRA) system needed to meet the challenge of significant and sustainable growth in OSU s research activity. Additionally, the position will lead the post-award grant management program of projects for OSU s Administrative Modernization Program ( AMP ). Implementation of both eRA and AMP will involve re-engineering core business processes and integrating them into modern, cloud-based eRA and Enterprise Resource Planning ( ERP ) technical solutions to enable better institutional agility and exceptional user-friendly design for the OSU community.

The Grant Management Program Lead will report to the AMP Executive Director and be dedicated and assigned to work that supports the Associate Vice President for Research Administration, Finance and Operations. This position will serve as a key member of the AMP team assigned to grant management and finance projects, as directed and prioritized by the AMP Steering Committee and governance structure.

This position will be responsible for:
  • Post-award grant management projects.
  • Re-engineering pre-award and compliance program management activities, outside the scope of AMP .
  • Working to ensure seamless integration between the eRA and Workday grant management processes and systems.
  • Improving the ability to track and report on OSU research activities and associated compliance obligations.
  • Guiding and assisting project teams in applying the AMP guiding and design principles, as well as standard project management tools and approaches, to make informed decisions and move projects from initiation to completion.
  • Transforming the life cycle grant management business functions and processes through close coordination and collaboration with community members, project teams, change management, business process improvement and implementation partners, and the AMP team.
  • Advocating forthe ideal community member experience, user focused design, and championing efforts inside administrative domains to lower the cost and improve the efficiency of administrative processes.
The anticipated 2-3-year eRA and AMP initiative at OSU will transform and fully digitalize all administrative processes at the university.

AMP will transform OSU into a fully digital university, rebuilding its entire administrative technology environment to facilitate efficient and modern transactions among staff, students, and faculty. This effort will modernize the university s Enterprise Resource Planning ( ERP ) system (replacing Banner and additional applications), re-engineer core administrative HR, finance, planning and budgeting, post-award grant management, and student tools and processes, and deploy automated workflows in the cloud. This process will also include documenting and updating any new or existing policies associated with these processes. This light and lean cloud-based approach enables better institutional agility and adaptability, exceptionally user-friendly design for students, faculty, staff, and administration who interact with OSU . It also provides OSU the opportunity to lower the cost and time burden of administrative processes.

OSU s approach will reimagine and redesign all HR, finance, research administration, and budget/planning processes with a human centric design framework based on full automation, alignment with industry best practices, and desired customer journeys. This approach will require significant organizational change management, community member engagement across and outside of the organization, and a strong commitment to equity, inclusivity, and accessibility to design solutions for a broad and diverse collection of customers and community members. We will not undertake this ambitious work alone OSU will collaborate with industry partners specializing in higher education to deliver on our pioneering vision. We will document every step of our process to support and guide other Oregon institutions who may pursue similar transformative efforts.
