Job Summary

The Document Manager is responsible for leading the Document Design Team in support of overall business strategies. This role includes overseeing the team’s gathering of detailed requirements, analysis, documenting processes, and user acceptance testing (UAT). This team works closely with the Marketing, Information Technology, and Claims Departments to ensure all proposed initiatives are executed. An inquisitive and analytical approach, blended with caring and compassionate leadership, strong project management skills, and a drive to achieve results are critical for success in this role.

Role and Responsibilities

To perform the job successfully, an individual must be able to perform each essential duty satisfactorily and should demonstrate the following competencies to consistently perform the essential functions of this position. The requirements listed below are representative of the fundamental knowledge, skill, and/or ability required to perform the job successfully:


  • As a member of the Product Department, support business groups in developing new and revised products in a timely fashion.
  • Lead a team that designs and maintains companies’ coverage forms for proprietary insurance products.
  • Translate road map into scheduled work for the team.
    • Manage workflow by proactively assessing demand and capacity, identifying bottlenecks, and adjusting maximize throughput.
    • Manage projects for creation and maintenance of product documents.
  • Oversee quality assurance of new, finished documents.
  • Oversee quality control of existing documents.
  • Maintain strong relationships with business groups to identify documents and processes needing improvement.
  • Develop an advanced understanding of the Orion180 MY180 portal, specifically the business processes, field names, and their significance.
  • Continuously improve effectiveness and efficiency of our forms’ software and our processes.
  • Evaluate business processes, anticipate requirements, and uncover areas for improvement.
  • Develop SOPs (standard operating procedures).
  • Develop training plans to improve individual and collective productivity.
  • Create reports and SLAs (service level agreement) to measure the team’s contribution to the enterprise’s productivity and efficiency.
  • Coordinate and host meetings on findings, results, and plans to department and enterprise leadership.


Qualifications and Education Requirements

  • Bachelor’s Degree – preferably in Organizational Leadership, Technical Management, Computer Science, Information Technology - or equivalent industry experience.
  • Insurance industry experience is preferred.
  • Outstanding organizational skills.
  • Strong leadership skills.
  • High degree of accuracy, attention to detail, and sense of urgency in a fast-paced, high-performance environment.
  • Strong written and verbal communication skills.
  • Strong interpersonal skills.
  • Proficient in Microsoft Office and experience with document designer solutions
  • An understanding of SQL (Structured Query Language) and JSON (Java Script Object Notation) is preferred.
  • Lean Six Sigma Green Belt (or higher) and/or PMP (Project Management Professional) designation preferred.

Physical Demands

While performing general office duties for this position, the employee is regularly required to sit, stand and/or walk around (including the use of stairs). Other demands include the ability to openly communicate with others by talking, listening, and reading, being able to lift light objects (<25lbs), and using standard office equipment such as computers, printers, and phones. In addition, there is an occasional need to bend, twist or stoop to open/close cabinets, and reach for files or other standard office-type objects.


Work Environment

The office environment is quiet and, in a temperature, controlled setting with random adjustments in noise or temperature due to conversations, unscheduled maintenance repairs to the building or its interior offices, or unpredictable situations due to weather or other acts beyond company control. An employee must be willing to work their regularly assigned work schedule for their duties and/or job responsibilities and in times of need, be able to work an extended schedule depending on the company/department needs, project requirements, or customer demands.
