Job Posting for Administrative Coordinator at Orleans Southwest
The WonderKids Summer Enrichment Program is a 5-week Outdoor Adventure Camp for OSSU students currently in grades K-6. This camp will meet Monday through Friday from 8:30am-3:00pm from July 8-August 9, 2024. This year, our camp will be based in Craftsbury on the property of Sterling College.
The Administrative Site Coordinator will collaborate with, delegate to, and lead Behavioral, Health and Safety, and Enrichment Site Coordinators, Counselors, and Jr Counselors to ensure reporting requirements and staffing requirements are met, and the program runs smoothly.
Responsibilities:
*Site logistics, staff schedules, camper schedules, attendance records, and data reporting
*Overall site performance
*Facilitate and troubleshoot clear communication through all channels, including parents, Sterling College staff and administrators, OSSU staff and administrators, the Regional Management Team, and the other Coordinators, Counselors, and Jr Counselors
*Responsible for ensuring that the daily schedule follows the Camp Rhythm, planning and leading last minute changes in schedule or staffing to help the program run smoothly
*The Administrative Site Coordinator is the main point of contact for everyone and is who is responsible for important decision making on site during daily programming
*Maintaining accurate, current, organized records on data points in accordance with the WonderKids Manual
Duties:
*Supervising the Counselors and Jr Counselors, and completing the staffing schedule to ensure a full roster of staff and volunteers to maintain mandatory safety ratios
*Receiving/organizing registration information (along with allergy information and accommodation requests) in coordination with the Administrative Manager
*Delegating to and working with the Behavioral Coordinator to ensure that reasonable support requests are met
*Delegating to and working with the Enrichment Coordinator to ensure that enrichment activities are scheduled, planned, and prepared for each day.
*Delegating to and working with the Health and Safety Coordinator to ensure that appropriate health and safety measures are in place for campers and staff
*Working with OSSU food service personnel, ensuring orders are placed, snacks are prepared and ready on time, food is safely stored on site, and reporting data is accurately recorded and shared in a timely manner
*Working with Health and Safety Coordinator to ensure the coordination of an afternoon snack, ordering food and supplies in a timely manner and within the budget requirements
*Being familiar with the WonderKids Emergency Plan and be ready to implement it as any moment
*Managing site budget with oversight from the Administrative Manager
*Approving the supply ordering process
*Communicating changes such as cancellations, program pivots or modifications, and other changes to the correct parties including Wildcat busing (if applicable), WonderKids staff and managers, and campers and their families
*Arriving on site with ample time to do pre-program prep, staying after program to ensure site is ready for the next day, and working on non-program days to lay the groundwork for on-time preparation of all systems and tools
*Taking attendance, and ensuring that all students are located even if they are not at the program. Communicating with families regarding attendance
*Communicating with parents and families about the program schedule and other details in accordance with the communication styles and schedules outlined in the WonderKids Manual
*Reporting concerns, issues, needs, or changes as needed to Regional Management Team via regular check ins, email, and immediate phone calls when necessary
*Checking students out at the end of the program
*Leading the collection of Headline Performance Measures and reporting to the Regional Management Team
*Reviewing and approving/troubleshooting Coordinator, Activity Specialist, Counselor, and Jr Counselor hours reported on timesheets
*Providing feedback via check ins and performance evaluation forms to improve staff performance, reporting any staffing problems to the Afterschool Management team
*Placing order requests with the Administrative Manager with enough lead time to ensure supplies and other orders arrive on time for the program
*Using the Google Suite tools to manage data in accordance with the WonderKids Manual
