Title: Administrative Assistant
Reports to: Director of Operations
Location – onsite/hybrid: Onsite - Great Neck, NY
Hours: Monday - Friday 8:00 am - 5:00 pm

What you’ll do:
Orthopaedic Associates of Manhasset, located at 600 Northern Boulevard, Great Neck, NY is seeking a professional, energetic, hard working Administrative Secretary. Performs diversified office-clerical duties including, but not limited to scheduling appointments; facilitating communications; taking and prioritizing telephone calls; maintaining and documenting incoming reports.
- Ensuring orders of Dopplers and medications for patients are processed
- Scheduling of IMEs and phone depositions
- Assisting with iPads with patients
- Setting up team meetings with depts
- Setting up meeting for docs with vendors
- Filing all docs certificates and refilling for all reappointments for hospitals
- Relay patient and physician messages internally and externally
- Main hub for telecommunications with all depts (example mri front desk physicians, PT )
- Sometimes room patients if short staffed in the office
- Obtaining medical records (operative reports) for patients and other departments (ie: billing dept)
- When other admin assistants are out of office ensure that their work is covered so that important tasks are not overlooked or delayed
- Triage patient calls
- Manage the physician’s schedules to ensure proper template is being followed

- Strong customer service support skills.
- Excellent interpersonal, teamwork and communication skills – verbal & written.

- Punctual, reliable, hardworking, well organized, professional and detail orientated.
- Ability to problem solve and make decisions quickly under pressure.
- Knowledge of administrative procedures.
