Job Posting for Administrative Assistant, Inpatient Facility at Our Hospice of South Central Indiana
Our Hospice is looking for an Administrative Assistant – (Part Time) for the Inpatient Facility (IPF). This person will utilize knowledge of office systems and procedures, regulations and Our Hospice of South Central Indiana (OHSCI) goals and objectives. They will also contribute to the development and/or modification of operating processes in the IPF. This position will work evenings 3:30-7:3pm Mon - Friday and every third weekend 8 am – 4:30 pm
An Administrative Assistant at Our Hospice Will:
Answer and screen all incoming calls on a multiple line system
Directs calls appropriately to internal staff and pages external staff (Registered Nurses, Home Health Aides, Chaplains and Social Workers, etc) as needed
Receive all walk-ins in a courteous and helpful manner assisting them and directing them to appropriate individuals(s) or office(s) of OHSCI
Daily enters and updates information in OHSCI software systems, e.g. relevant patient information
Responsible for electronic medical records (EMR) workflow, electronic consent workflow, scanning documents and input as needed daily
Ensure that documents requiring physician signature are tracked for completion and followed up appropriately
Order Durable Medical Equipment (DEM) for transfer and patients
Ensure the on-going accuracy of active charts and verifies accuracy of closed charts
Create Interdisciplinary Group (IDG) discussion list, agenda and console. After IDG meetings, copies, fax, mail and files IDG information
Maintain integrity of logs kept within the IPF
Work independently and within a team on special, nonrecurring and ongoing projects, including fundraising events
Coordinate meetings, gathers data, prepares correspondence, documents reports, maintains files, and records on behalf of PCM, IPF as needed
Schedule assignments for IPF RNs, HHAs and Medical Doctor
Demonstrate ability to remain calm and functional in work situation and follows directions and established emergency protocols, i.e. Fire Drills
An Administrative Assistant at Our Hospice Needs:
High School Diploma or GED required
Business school or Associate’s degree preferred; or equivalent combination of education and experience
3 years of related experience required; healthcare experience preferred
Valid Indiana Driver’s License
Skills Need for an Administrative Assistant at Our Hospice:
Proficient in Microsoft Office Products
Ability to summarize data for reports
Strong working knowledge of administrative office procedures
High level of interpersonal skills to handle sensitive and confidential situations
