Essential Duties

  1. Organizing and administrate operational meetings as needed, including senior management meetings. 
  2. Assisting with training, implementing and maintaining procedures/office administrative systems.
  3. Administration and Information Management.
    1. Prepares, edits (as needed), electronically stores, and monitors basic project management correspondence. 
    2. Responds to requests from the field (submittals, drawings, general info., etc.)
    3. Responds to requests from Project & Service Managers.
    4. Orders and produces copies of plans and specifications, as needed. 
  4. Manage and participate in corporate community and industry activities.
  5. Assist Executive President, Director of Training & Development, General Manager and Operations Manager:
    1. Special Projects
    2. Travel Arrangements
    3. Meetings
    4. Meal Coordination
  6. Service Reporting
  7. Expense Reports for Management
  8. Managerial Teamwork
    1. Establishes and maintains collaborative working relationships with Department to include providing timely, accurate and complete information.
    2. Coordinates with appropriate P1 Service departments for timely delivery of material and manpower resources.
    3. Provides timely, accurate, and complete information to the company’s senior leaders.
    4. Back up to Lead Coordinator, Operations Coordinator, and Service Coordinator duties as needed.
    5. Team Lead for BBQ
    6. Schedule & facilitate vendor visit lunch & learns.

Qualifications

  • Education Experience: Bachelor’s degree (BS) or five to ten years of related experience and/or training, or equivalent combination of education and experience.
  • Experience:  Must have a minimum of 2 years experience in operational or office manager position.  Specific experience in the service or construction industry is preferred.
  • Driving Requirements:
    • Must be able to meet P1 Service qualifications to operate a vehicle on company business. Must be able to satisfactorily pass a motor vehicle record check. Must be at least 18 years of age and possess a valid driver’s license.
    • If driving a personal vehicle for business: Must have access to a well-maintained vehicle with an up to date registration with the local Department of Motor Vehicles. Both the incumbent and the vehicle must be currently covered on a personal insurance policy.
  • Skills
    • Computer Skills:  The incumbent must be proficient in using email, database, internet, spreadsheet, and word processing applications: specifically Microsoft Office products (Word, Excel, PowerPoint, and Windows). 
    • Customer Service - manages difficult or emotional customer situations; responds promptly to customer needs; solicits customer feedback to improve service; responds to requests for service and assistance; meets commitments.
    • Interpersonal Skills - focuses on solving conflict, not blaming; maintains confidentiality; listens to others without interrupting; keeps emotions under control; remains open to others' ideas and tries new things.
    • Language Skills: 
      • Reading and Comprehension: The incumbent must be able to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations; to write reports, instructions to employees, and basic business correspondence; and to effectively present information and respond to questions from groups of managers, internal customers, and vendors.
      • Oral Communication - speaks clearly and persuasively in positive or negative situations; listens and gets clarification; responds well to questions; participates in meetings.
      • Written communication - writes clearly and informatively; edits work for spelling and grammar; able to read and interpret written information.
    • Mathematical Skills:  The incumbent must be able to use general business and construction/engineering mathematics skills.
    • Planning/Organizing - prioritizes and plans work activities; uses time efficiently.
    • Problem Solving - identifies and resolves problems in a timely manner; gathers and analyzes information skillfully; develops alternative solutions; works well in group problem solving situations.
    • Reasoning Ability:  The incumbent must be able to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists, and he/she must be able to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
    • Technical Skills - assesses own strengths and weaknesses; pursues training and development opportunities; strives to continuously build knowledge and skills; shares expertise with others.
