Job Duties and Responsibilities:
- Support the CEO and other Executive staff while reporting to the Vice President of Operations
- Perform a wide range of administrative support functions to maximize the CEO’s efficiency and aide in high-trust functions
- Ensure completion of the CEO’s priorities and goals through employee communications and task management
- Draft internal & externals documents including non-disclosure agreements (NDA), agendas, manuals and guidelines, letters, and corporate updates
- Complex scheduling and calendar management requiring coordination across domestic and international time zones
- Manage CEO’s travel logistics including domestic and international flights, accommodations, transportation, meals, and registrations. Provide travel support for additional staff as needed.
- Human Resources assistant; management of employee data, research policies and regulations, semi-monthly payroll and benefits processor
- Personal Assistant to the CEO; manage personal correspondence, household bills and contract vendors. Monitor investments and finances. Run errands as requested
- Provide planning and event support for supplier meetings and corporate events.
- Compile and review materials for reports and presentations.
- Corporate and Personal Full life-cycle vendor management as needed, including sourcing leads, RFP and bid analysis, vendor selection, performance monitoring and contract renewals or termination
- Provide administrative and office support including data entry, spreadsheet creation, and creation and maintenance of corporate and personal files.
- Assist in training staff in Facilities Management and Administrative skills.
- Maintain professionalism and strict confidentiality with all materials.

- Salary: $100,000-$125,000 per year plus Bonus potential, 401K, PTO, Insurance, Cell Phone, and Car Allowance
Required Skills and Experience:
- Three to five years’ prior experience supporting a senior executive or team.
- Must be comfortable working in a diverse and inclusive work environment
- Enjoys working in a focused and driven environment that moves quickly
- Experience managing high volumes of corporate or personal travel exceeding 30 weeks per year
- Must be able and comfortable to pivot from professional needs to personal needs at any given time - some days will include assisting the CEO within their home
- 4-year degree in business management, Certificate in Human Resources, or Certificate in Project Management a plus
- Experience working with cross functional global teams across multiple time zones
- Time Management and the ability to organize and coordinate multiple concurrent projects
- Problem solving and analysis
- Building relationships and obtaining agreement
- Written and verbal communication with parties from all demographics and cultures
- Pivoting and working in a fast-paced environment
- Exceptional skills in Microsoft Excel & Outlook required
- Able to work overtime as needed
