Pain Specialists of Austin (“PSA” or “Company”) is a Texas-based, multisite comprehensive pain management company that includes over 20 locations, two ASCs, two CLIA-certified laboratories located in Austin and New Braunfels, and a compounding pharmacy.  PSA is growing rapidly.  We require extremely competent, talented professionals who can support the business and help it achieve its strategic objectives.   


The Director of Operations is responsible for the day-to-day administration of each of an assigned region’s non-ASC clinical locations (“Sites”), and for the planning and oversight, on an ongoing basis, of the performance and operational requirements of them.  With respect to the day-to-day needs of the Sites, the Director of Operations must ensure the effective and efficient performance of Company’s personnel at each of the Sites; appropriate and timely allocation of resources, assist with Site budget development, operational and financial performance; and overseeing the successful rollout of new Sites. 


Location: South Territory (Between San Antonio and South Austin)


 

Detailed Responsibilities: 

This position is responsible for daily operations, developing and implementing the people, structure and processes necessary to manage current activities and growth, achieving short and long-range plans and budgets based on the Company’s goals and growth objectives, and delivering outstanding care to PSA’s patients.

Day-to-Day Operations Management 

  • Responsible for oversight of clinical operations across clinic sites. This includes direct oversight of day-to-day management of medical records, incoming calls, front desk personnel, medical assistants, operating hours, provider scheduling, and proper utilization of resources and systems 
  • Collaborate with Territory Managers and Site Managers, responsible for directing, planning, organizing, supervising and coordinating the services for all aspects of clinic operations 
  • Monitor and ensure clinical and operational performance goals are maintained  
  • Work with clinical management to optimize staffing, appointment schedules, workflows policies and procedures, as needed to meet goals 
  • Working with the Site manager, oversee hiring and recruiting process 
  • Ensure proper training of all Site clinical staff with respect to policies, procedures, protocols, and ensure proper training for all systems  
  • Monitor and ensure adherence to policies, procedures, and standards, specifically those relating to privacy and safety 
  • Lead site efforts to achieve established goals for productivity and quality goals, collaborating closely with the Site Clinical Lead 
  • Ensure an excellent patient experience and that patient complaints and grievances are addressing and resolved in a timely and responsive manner 
  • Create, analyze and present data and reports as relevant to operations, including: patient satisfaction, clinical visits, and referrals from outreach to clinical services 
  • Ensure compliance with rules and regulations that impact clinic operations, including participation in audits and the development and implementation of Corrective Action Plan 


Strategic Operations Responsibilities  

  • Assist with implementing a standard staffing model for all Sites 
  • Facilitate and support process improvement initiatives, especially those resulting in improvements in policies and procedures and targeting key areas with process improvement, customer service, quality improvements and clinical efficiency 
  • Working with the Site manager, oversee and manage financial performance of the Site 
  • Working with the Site manager, oversee and manage the Site operating costs to the budget  


Sales, Marketing and Business Development 

  • Work with Company’s salesforce and marketing personnel (including advisory firms) to ensure coordination of marketing efforts 
  • Execute Site business development activities: ensure collateral materials, training materials, meeting guides, presentations and articles are provided to all Sites, and measure and monitor clinic-level business development activities as required

Requirements


  •  3-5 years of management or supervisory experience in a healthcare or medical setting.  
  • College degree or equivalent work experience 
  • Familiarity with quality and process improvement  
  • Working knowledge of federal and state regulations that impact clinic operations, including HIPAA 
  • Ability to accurately and efficiently use Health Information Technology (HIT) Systems, including running reports 
  • Effective problem-solving skills and a desire to attack little problems before they become big problems 
  • Effectively interact with people and develop positive relationships while being tactful, respectful, and direct in communication 
  • Excellent verbal and written communication skills 
  • Ability to travel between sites as needed 
  • Ability to use MS Office programs.
