TYPICAL DUTIES AND RESPONSIBILITIES

- Provide clerical and high-level administrative support and assistance to the President and/or other assigned executives.

- Schedules and attends meetings on behalf of executives, taking notes, recording minutes and distributing, as required.

- Receives incoming communication or memos on behalf of executive staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.

- Performs office tasks including maintaining records and ordering supplies/furniture.

- Prepares weekly/quarterly reports and presentations for Executive Team.

- Coordinates travel arrangements for employees throughout the organization.

- Tracks and maintains expense reports.

- Manages President's inbox and filters accordingly.

- Maintains President's schedule and travel.

- Receptionist duties when required.

- Assists in organizing company events.

- Performs other duties as assigned.

WORK EXPERIENCE/EDUCATION REQUIREMENTS

- Prefer 3 or more years of experience in an office setting. Manufacturing environment a plus.

- Post high-school education a plus with emphasis on Business Administration.

- Minimum typing speed of 45 wpm.

- Proficient in Microsoft Office - Word, Excel, PowerPoint and Outlook. Computer savvy.

- Excellent communication skills (verbal and written) and ability to interact with all levels within the organization.

- Superior problem solving, decision making and organizational skills.

- Possess high level of emotional intelligence.

- Exceptional understanding and practice of confidentiality.

- Extensive knowledge and experience of office administration, clerical procedures and recordkeeping systems.

OTHER QUALIFICATIONS

- Adaptable, able to move from one task to another without loss of speed or efficiency.

- Must be assertive, yet maintain professional demeanor.

- Able to meet deadlines.

- Self-starter who can carry out assignments with minimal guidance,

- Able to work in fast-paced environment.

- Must be detail-oriented, with sense of urgency and excellent time management skills.

- Extremely dependable, including punctuality.

- Must be able to maintain focus while maintaining productivity.

PHYSICAL REQUIREMENTS

- Able to lift and pull a minimum of 25 pounds occasionally.

- Requires sitting, walking, standing for lengthy periods of time.

- Requires use of computer equipment frequently (monitor, etc.).

- Certain areas require the use of safety equipment (safety glasses in the production/lab areas).

- Requires bending, pulling, pushing, reaching above shoulder, below waist levels.
