The Payroll Manager oversees a team of Payroll Processors who generate weekly payrolls and vendor payments, file tax deposits, and conduct other activities associated with payroll processing and associated accounting functions. This position requires proficient computer skills, and the ability to multi-task and consistently meet deadlines.
Duties and Responsibilities
- Responsible for coordinating the activities of the Payroll Processing team, who process payroll weekly for hundreds to thousands of employees, set up garnishments, and file payroll tax deposits.
- Producing payroll calendars to ensure sufficient coverage and planning in the payroll and cash outflow activities associated with payroll.
- Ensure that all transactions are properly recorded in the General Ledger.
- Perform cash flow planning and transfers for payroll.
- Remit payroll tax deposits, such as 941, 940, and state income tax withholding.
- Ensures that payroll is calculated accurately, ensuring all taxes are properly withheld.
- Troubleshoot and proactively resolve issues.
- Be capable of performing quality checks on payroll data files, including being capable of analyzing payroll data using predefined quality checklists and problem-solving skills.
- Transfer data between systems.
- Have a strong understanding of payroll taxes, such as FICA/FUTA/SUTA and related exemptions.
- Maintains client confidence by safeguarding data and complying with HIPAA.
- Coordinating activities between other accounting departments, such as Audit, Tax, and Billing/Accounts Receivable.
- Research and resolve payroll issues.
- Enforce internal controls and quality metrics, as well as designing new metrics and processes to assess controls and quality, responding to the needs of the organization and industry.
- Coordinate with the Tax Team on tax filings, including W-2 and 1099 filings.
- Coordinate payroll audits/reviews to ensure accuracy of pay and identify potential errors.
- Compiles information for special reports and preparing other documents and correspondence.
- Communicates effectively regarding payrolls conducted for entities.
Education and Essential Traits
- Bachelor’s Degree from an accredited college required. Preference given to 4-year degrees in business fields.
- Minimum of three years of experience in payroll and full-cycle accounting.
- Management experience preferred.
- Strong organizational and problem-solving skills, with the ability to analyze information, strong attention to detail, take initiative to follow-up on transactions, and make decisions about information.
- Good research and analysis skills
- Must possess solid technical skills, as this job requires handling large sets of data.
- Strong Excel skills are essential for the position.
- Exceptional mathematical and calculation skills.
- Must have good verbal and written communication skills.
- Multitasking abilities.
