POSITION SUMMARY

We are seeking a highly organized and detail-oriented Administrative Assistant to provide comprehensive administrative support to our team. The ideal candidate will be a proactive problem-solver with excellent communication skills, the ability to handle confidential information with discretion and specialize in payroll systems. This role requires a high level of professionalism, time management, and the ability to work effectively in a fast-paced environment.

ESSENTIAL JOB FUNCTIONS:

  • Administrative Management
    • Support the front office with day-to-day operations.
    • Respond to and resolve administrative inquiries and questions.
    • Performs other related tasks as assigned.

  • Communication
    • Serve as the primary point of contact between the executive and internal/external individuals or vendors.
    • Manage email correspondence, draft responses, and prioritize messages for urgent attention.
    • Answer calls and assist current and potential clients for all programs.

  • Document and Record Keeping:
    • Prepare and organize documents, reports, and presentations for internal and external distribution.
    • Maintain accurate and up-to-date records, including contact lists and important documents.
    • Create and maintain filing systems, both electronic and physical.
    • Run bi-weekly payroll through the HRIS system.
    • Assist the Director of Administrative Operations with employee on boarding

  • Meeting Support:
    • Attend and record minutes for key meetings, ensuring follow-up on action items.
    • Prepare meeting materials and presentations as needed.

  • Project Management:
    • Assist in the planning and execution of special projects ensuring deadlines are met.
    • Coordinate cross-functional efforts and communicate project updates to relevant stakeholders.

  • Supply Management:
    • Receiving and organizing office supplies.
    • Communicatelow inventoryto the Administrative Coordinatorand assist with making replacement orders.

  • Problem Solving:
    • Proactively identify challenges and implement solutions to streamline executive workflow.

  • Confidentiality:
    • Handle sensitive and confidential information with the utmost discretion.

  • Bachelor’s degree preferred.
  • Payroll and systems management experience required.
  • Proven experience as an administrative assistant or in a similar role.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office Suite and other relevant software.
  • Ability to work independently and collaboratively in a team environment.
  • Bilingual fluent in Spanish (preferred).
  • Valid driver’s license, working vehicle, and insurance.

ADDITIONAL REQUIREMENTS:

  • Current PA State Criminal Background, FBI Fingerprinting Screen and Child Abuse clearances
  • Social Media Background Check
  • Technology Acknowledgement Form pay

ESSENTIAL PHYSICAL REQUIREMENTS

While performing the duties of this job, the employee is regularly required to talk and hear. The employee frequently is required to stand, walk, sit, use hands to finger, handle or feel and reach with hands and arms. The employee must occasionally lift and / or move up to ten (10) pounds and may infrequently lift and / or move up to twenty-five (25) pounds. Specific vision

abilities required of this job include close vision, distance vision, color vision and peripheral vision.
