We are opening a brand new pediatric clinic in Bridgeport, servicing patients for ABA, physical therapy, occupational therapy, and speech therapy. The Office Coordinator is responsible for managing the day-to-day operations of the ABA clinic. The Office Coordinator will monitor reception area desk and scheduling of patients in addition to facility operations. The Office Coordinator will report to the Rehab Director and Administrator on a consistent basis to maintain and improve the productivity of the clinic.
Required Minimum Qualifications:
- Minimum of three (3) years working in a medical setting with knowledge of the expectations of a Rehabilitation Therapy Clinic and/or a Behavioral Health Clinic.
- Must be able to effectively communicate in English, both verbally and in writing.
- Must exhibit effective communication skills and be capable of relating positively and professionally to staff members, parents, patients, and guests.
- Must be capable of performing the Essential Job Functions of the job, with or without reasonable accommodation.
- Experience in medical billing is preferred.
Responsibilities:
- Maintain a detailed understanding of the services that Paramount Rehabilitation Services offers.
- Maintain a clear understanding of billing procedures.
- Monitor Front Desk Receptionists and clerical staff. Prepare schedules for dictation, patient appointments, patient follow-up’s, etc. on a daily basis.
- Monitor rehabilitation staff (BT's, PT’s, OT’s, SLP’s, etc.) to ensure that patient care and documentation are being properly performed.
- Update, prepare and distribute policies and procedures as requested by Rehab Director.
- Oversee patient scheduling procedures. Ensure patients are scheduled on a daily/weekly basis and patient’s that are not scheduled are being contacted consistently.
- Verify that therapist documentation is being completed in a timely manner.
- Verify that discharged charts are complete.
- Verify monthly that notes/reports are completed and the provided notes match what has been billed for the month.
- Complete monthly monitoring report for the clinic.
- Assists with marketing events when needed.
- Track office supplies. Request additional supplies when needed.
- Attends weekly and monthly meetings with the Administrator and Rehab Director.
- Organizes lunch for the monthly staff meetings.
- Makes sure Medicare guidelines are being followed throughout the clinic.
- Coordinate services with CMH's.
- Communicate with patients/parents of patients to obtain feedback on our services.
- Maintain a flexible schedule to accommodate the needs of the clinic.
- Have a clear understanding of policies & procedures of the clinic and Employee Handbook. Make sure that policies & procedures are being followed.
- Help with covering other therapist and administrative functions for other Paramount locations when needed.
- Report facility(s) needs or problems to the Administrator.
- Other duties as assigned.
