Accessibility Services Office Assistant

The Accessibility Services Office Assistant is responsible for organizing and facilitating the daily operational flow of the department, greeting, and receiving guests, directing visitors, responding to inquiries, producing correspondence for external inquiries, files maintenance, and providing general clerical support to the Dean and for Accessibility Services.

The Accessibility Services Office Assistant is a full time, 12-month, Professional Support Staff appointment on a schedule established by the Dean of Counseling Services. The position involves frequent handling of confidential medical and psychological information and records. The Office Assistant must be able to work effectively with a diverse population in a high-volume environment with minimal supervision, frequent interruptions, and simultaneous tasks. 

Essential Job Functions

Office Operations

  • Serve as direct support to the Office of Accessibility Services and its staff.
  • Manage front office area to enhance office efficiency.
  • Collaborate with Dean and Accessibility Services staff to increase effectiveness of accessibility procedures and processes with guests, students, and faculty.
  • Interact daily with faculty to request academic tests and troubleshoot testing-related issues.
  • Arrange for testing accommodations and protector tests.
  • Process requisitions, travel vouchers, work authorizations, and department forms.
  • Provide support for department events hosted for prospective and current students and family members.
  • Schedule appointments and events for department staff members.
  • Manager front desk, conference room, and testing room calendars.
  • Train and supervise student workers.
  • Coordinate department information.

Maintenance of Records

  • Receive and process confidential medical and psychological records for student files.
  • Maintain accurate records of eligibility, accommodations, and testing using various software programs to assist in obtaining reports, generating correspondence, and verification of information.
  • Maintain departmental records and confidential files of student documentation.

Communication

  • Provide good customer services as the first point of contact for students who self-identify their disability, guests with accommodation needs, professionals, and for faculty and staff coordination with the office.   
  • Provide a general overview of the admissions and assessment process to prospective students.
  • Serve as first point of contact for students and parents in crisis while campus personnel are contacted. 
  • Interact with campus departments daily for information and student referrals.
  • Prepare and send correspondence to prospective students, parents, and high school personnel.
  • Prepare minutes for department staff meetings; produce, assemble, and disseminate reports and materials as requested.
  • Answer telephone, written, and in-person inquiries.
  • Other duties as assigned. 

Minimum Requirements

  • Associates Degree or four (4) years related work experience or a combination of education and related work experience.
  • Working knowledge of the Americans with Disabilities Act (ADA).
  • Experience in a customer service or office environment
  • Excellent organizational and communication skills.
  • Verbal and mathematical abilities sufficient to perform the functions of the position, including excellent use of English grammar.
  • Proficiency in current word and data processing software packages.
  • In an effort to comply with SURS return-to-work restrictions for employers (40 ILCS 5/15-139.5), candidates for employment at Parkland College must either not be a SURS annuitant or must be willing to suspend his/her SURS annuity upon employment.  This applies to all SURS annuitants except those receiving their annuity under either the Self-Managed Plan (SMP) or by lump sum payment.

Salary: $34,124.22
