Position Description
The Project Administrator is responsible for communicating, updating, and following up on tasks related to implementations for multiple Quick Serve and Fast Casual Restaurant and Retail locations around the world. These projects will include customized hardware and software configurations and will require both internal and external resources in a matrixed environment. The Project Administrator will provide updates and follow up to various internal PAR teams and external customers, subcontractors, vendors, and key executives in order to successfully manage simultaneous projects according to plan, including scope, budget, and schedule.
WHAT WE’RE LOOKING FOR
- Effectively applies PMO methodology and enforces project standards.
- Ensures project documents are complete, current, and stored appropriately.
- Communicates effectively with vendors to identify needs and evaluate alternative solutions.
- Effectively communicates relevant project information to superiors.
- Delivers engaging, informative, concise and well-organized presentations.
- Understands how to communicate difficult/sensitive information tactfully.
- Excellent understanding of order to cash processes and procedures, as well as customer relationship management, and financial systems.
- Excellent ability to work in a team environment.
- Proficiency in computer applications such as Microsoft Word, Excel, Project and PowerPoint.
- 5+ years in a customer facing environment.
- In-depth knowledge of project management methodology and processes.
- Ability to effectively prioritize and execute tasks in a high-pressure environment.
- Excellent leadership and communication skills.
WHY WE NEED YOU
- Provide updates to internal and external stakeholders as to project status.
- Provide updates to internal and external executives as to project status
- Manage day-to-day operational aspects of a project and scope.
- Review deliverables and pre-requisites required of the client or third parties.
- Ensure “readiness items” such as discovery or pre-install needs and checklists are complete.
- Assist Store or franchisee if “readiness items” are not complete.
- Ownership of follow through for incomplete or non-defect free installs as project requires.
- Assisting the Project Manager with maintaining, updating and executing the rollout schedule.
- Assisting the Project Manager with maintaining / updating the RISK register and Action Log.
- Assisting the Project Manager with taking meeting notes.
- Transfer of ownerships
- Assisting with the maintaining the rollout schedule.
- Assisting with maintaining the implementation.
- Assist PM in identification of process improvements.
- Drives reporting on post install metrics to corporate stakeholders.
- Ensures provisioning is completed and escalates as needed.
- Point of escalation for project issues.
Schedule and Travel:
- Must have flexible schedule to accommodate various time zone requirements.
- Must be able to travel if required by business needs.
