POSITION SUMMARY:
The Operations Coordinator reports directly to the Agency President/Managing Principal to provide oversight on all administrative and operational activities for the agency. This position is responsible for overseeing effective operating procedures, office purchasing requests, technology support, and agency facilities so the agency runs smoothly, efficiently, and successfully. This position has a comprehensive knowledge of the overall department functions and works with departments heads on strategy and implementation.

  • Define, implement, revise, and monitor operational, office health, ergonomics, and safety, including local compliance (i.e., Covid protocols)

  • Maintains the general office condition, including oversight of the maintenance of the building and acts as the primary liaison with the landlord, and building access and security as well as scheduling hoteling for hybrid employees, and office moves and logistics as appropriate
  • Manages contract and price negotiations with office vendors, service providers, and equipment leases on behalf of the agency.
  • IT point of contact; oversees and supports the working relationship with the agency’s IT provider, coordinates the identification and prioritization of IT projects and workload, and manages the IT hardware inventory; set up of new hires and employee equipment needs on an on-going basis.
  • Acts as the point person for the agency technology applications and back-end systems, including implementation and integration into the agency.
  • Troubleshoot software, hardware and phone difficulties, and general office management questions reported by the employees and management in a timely manner.
  • Serves as the point person for office duties including mail pick up/drop off, ordering supplies, and equipment management. Oversees the office supply and equipment budget, printing needs, birthdays, anniversaries, recognition, and team building events.

  • Coordinates on-site HR support by working with PGIS/Regional HRM on new hire paperwork, identify technology needs, workspace preparation, and orienting the new staff member into the Bowermaster culture and training in conjunction with hiring manager
  • Provides support to visitors and strategic partners hosting events at Bowermaster.
  • Participates as an adjunct member of the Strategic Leadership Team (SLT) including assisting in scheduling meetings, taking minutes, creating agendas, creating PowerPoint presentations, and attending all meetings
  • Participates with the recruiting process by interviewing candidates, as requested by management in conjunction with Regional HRM
  • Works alongside the Agency President/Managing Principal to successfully integrate outside agencies that are merging with Bowermaster & Associates.
  • Acts as the point-person between PGIS and Arrow Benefits on pandemic related needs and is the agency point person for COVID-19. Communicates with staff, as needed, enforces state and local requirements, and provides notices to staff regarding potential exposure.
  • Carry out additional projects, as needed; plan, direct and coordinate activities of designated project to ensure that goals and objectives of projects are accomplished within the prescribed time frame and funding parameters.
  • Proactively establish and maintain effective working team relationships with all departments, including planning and budgeting for team building events
  • Oversee resource relationships and implementation – Zywave, Mineral, etc. (can involve direct customer communication)
  • Support marketing, branding, and social media functions (work with outsourced marketing director)
  • Oversee employee licensing and carrier access
  • Oversee subpoenas and legal requests

REQUIRED EDUCATION & EXPERIENCE:

  • Bachelor’s degree in business administration, or similar field of study or equivalent experience.
  • Advanced knowledge of personal computers and MS Office applications, database administration and website navigation, with the ability to operate standard office equipment.
  • Knowledge of industry operations.
  • Successful work history in a professional office setting related to project management and the proven ability to develop and maintain collaborative relationships.
