PBF Energy Inc. (NYSE: PBF) is one of the largest independent refiners in North America, operating, through its subsidiaries, oil refineries and related facilities, has an immediate need for a talented Administrative Assistant located onsite at our Company headquarters located in Parsippany, NJ.
The Administrative Assistant will provide support to an executive member and team.
PRINCIPAL RESPONSIBILITIES:
- Provide administrative support to the executive management team in Commercial including:
- Answering, screening and qualifying incoming calls
- Calendar management including scheduling of appointments, meetings and conference calls, venue reservations, agendas, displays, rentals, catering, and printed materials
- Producing presentation materials using advanced PowerPoint skills, including taking information and converting it to a fully formed presentation both in content and in creativity
- Advanced spreadsheet creation using MS Excel
- Coordinate domestic and international travel arrangements and prepare itineraries
- Prepare and reconcile expense reports
- Compose & edit correspondence and memoranda, and prepare, transcribe, compose, type, edit, and distribute agendas and minutes of various weekly and monthly meetings
- Coordinates purchasing of specialty items as requested
- Manage vendor/supplier contacts and work towards achieving desired business outcomes
- Research information as requested
- File and document management
- Back up coverage for other support staff and receptionist as needed
- Assist the senior team with various projects and assignments as needed
JOB QUALIFICATIONS:
- 5 years’ experience working in an administrative function supporting multiple teams/managers, preferably in a corporate environment or manufacturing company.
- College Degree preferred
- Strong knowledge of MS Office including Excel, Word, PowerPoint and Outlook
- Experience in extensive calendar management in Outlook and coordination of conference calls, meetings, and business travel for team and staff
- Excellent writing, editing and proofreading skills
- Must be able to demonstrate integrity and professionalism when handling confidential information
- Excellent communication and organizational skills
- Ability to multi-task and manage shifting priorities
- Must be able to work independently as well as within the team
