We are seeking an experienced Document Control Coordinator for our Hawai'i District office located in Honolulu, Hawai'i.
Responsibilities:
Review subcontractor and supplier database; retrieve missing information, and confirm compliance.
Scan invoices into invoice management systems and distribute to the teams.
Ensures that all required documentation is distributed to required stakeholders internally and externally.
Ensures that all documents are properly submitted to all relevant stakeholders in compliance with requirements and using mandated systems.
Audits document log and files, identifies document discrepancies, and expedites delivery of missing documents.
Completes and distributes reports related to documentation and the document management process.
Reports on status of document management process to supervisor. Assists with the design and implementation of solutions addressing document management issues.
Liaises with the internal team and external parties for verification and resolution of relevant project and contract documentation issues.
Prioritizes tasks to meet the needs of the project team and their respective deadlines.
Develops and maintains strong customer-focused relationships with all stakeholders.
Values and models the solution provider and profitability culture.
Other duties, as required.
Qualifications:
High school diploma
Professional verbal and written communication skills.
Ability to learn basic construction accounting terminology
Prior financial or accounting experience preferred
Strong computer skills and ability to quickly learn PCL and client-specific software.
Ability to perform routine tasks with a high level of accuracy.
Flexible and able to work in a fast-paced environment.
Ability to adapt to various work styles.
Ability to recognize problems and provide solutions.
Professional, service-oriented approach internally and externally.
Ability to multi-task and prioritize tasks with conflicting deadlines.
Strong organizational skills and high level of detail orientation to maintain all necessary documentation and meet deadlines and requirements.
Ability to work independently or in a team environment, with strong interpersonal skills.
Ability to establish and maintain effective stakeholder relationships internally and externally.
Intermediate skills using the Microsoft Office Suite and other applicable systems.
Working Conditions:
