Position Overview:
Peaks Financial, an independent wealth management firm, seeks a skilled and personable Administrative Associate. This role involves front desk reception, managing particular client service and account administration aspects, and ensuring service standards and compliance excellence. This position requires a blend of flexibility and structure, with work primarily scheduled Monday through Friday, some evenings and Saturdays for event support, all federal holidays off, and 15 days of paid vacation.
Primary Responsibilities:
- Managing the founder's communications, including answering calls, scheduling and confirming appointments, and maintaining email and mail coordination.
- Greet and assist clients at the office, manage reception areas, and handle all meeting setups and clean-ups.
- Provide administrative support to the Founder and Client Service Director and manage client-related databases and documentation.
- Coordinate client experiences, handle onboarding processes, and support events and seminars.
- Assist with financial transactions and document management, ensuring prompt and efficient problem resolution.
- Managing travel schedules
- Arrange job postings
- Coordinate and implement office procedures
- Coordinate office activities
- Other tasks and duties as assigned
Your Expertise:
- Enjoyment in client interaction and assistance, with strong organizational, verbal, and written communication skills.
- High attention to detail, strong computer skills, proficiency in Microsoft Office, and ability to manage sensitive information.
- Experience in client service within a financial advisory or banking environment is preferred.
- Extremely high follow-through skills
- Attention to detail with great accuracy
- Ability to handle confidential and sensitive information
- Ability to respond to problems in a calm, courteous, and helpful manner
Your Experience:
- 3 – 5 years in a client service position, preferably in a financial advisory firm or bank
- 5 years of Microsoft Office experience – Outlook, Word, Excel
- 5 years of customer/client database experience
- Proficient and skillful PC and Internet Experience
- Experience in the financial field is helpful but not required
