What are the responsibilities and job description for the Admin Coordinator position at Pearson?
Pearson’s Global Digital Channels and Experience team is looking for an Admin Coordinator who will be responsible to support the team with day-to-day administrative functions in a timely, professional and confidential manner. Tasks include, but not limited to coordination of hiring/onboarding new hires; managing the process of vendor setup and PO processing, calendar management of senior executives and other tasks as assigned.
The Administrator role is varied, and there is opportunity to make the role your own. It has responsibility for ensuring the smooth running of the department, and supporting different teams and functions. The role works closely with both internal teams and external suppliers.
We are looking for someone who is eager, energetic and wants to lean in and learn. Keys to success in this role are initiative, collaboration, orchestration, active stakeholder management, ownership and ultimately the drive to get things done.
Key Responsibilities:
Manage Executive calendars, meeting and events
Support hiring process, follow process checklist for new hires, terms, and transfers
Manage the process of vendor onboarding/account setup by working closely with internal teams
Process vendor invoices and follow up on invoice payment status
Prepare internal requisition forms (equipment, systems, supplies, etc.)
Process and troubleshoot contracts and purchase orders
Prepare necessary presentation materials for meetings. Document and follow up on important actions and decisions from meetings.
Manage project plans/schedules for specific initiatives
Provide administrative support as needed, such as executive expense reports and other administrative tasks
Maintaining high standards of confidentiality of all employee records and information
Help with planning activities to drive team engagement and employee recognition
Must Have Attributes:
1-2 years of admin support experience
Knowledge of project management concepts, tools and activities, including Smartsheet, Office 365 (SharePoint, Teams, Outlook, Word, Excel, PowerPoint, and Visio).
Proficient in using virtual meeting technologies such as Zoom, Microsoft Teams, or similar systems.
Experience planning, facilitating, and managing large-scale meetings and events - such as town halls, etc.
High degree of personal ownership and accountability to consistently deliver results and prioritize work in a fast paced and high-profile environment.
Ability to act with minimal direction and see challenges/obstacles ahead.
Excellent interpersonal, collaborative and communication skills; demonstrated ability to establish positive working relationships at all levels of the organization.
Ability to convey complex information, in a clear and concise manner
Ability to manage multiple priorities simultaneously, while paying keen attention to details
Proactive approach to finding creative solutions to problems at hand
Strong communication skills with the ability to discuss any issues with a wide variety of individuals and groups
Ability to work autonomously
Ability to learn quickly and apply learning to problems or activities
Excellent communication skills, both oral and written.
