POSITION: ADMINISTRATIVE ASSISTANT – Cleveland / or Akron Office
CLASSIFICATION: Full-Time (Overtime required as needed)
Salaried, Non-Exempt
HOURS: 8:00 a.m. – 5:00 p.m.
REPORTS TO: Director of Human Resources
RESPONSIBILITIES
Tax Return Processing
- Process tax returns, including copying, stamping, typing instruction sheets, preparing electronic transmittal letters, and applying correct postage to envelopes
- A comprehensive review of all pieces of information created during the tax processing process for accuracy and completeness before returning to accounting staff
- Scan client information according to tax/atg processes and procedures
- Update logins/logouts, assist with workflow meetings, generate workflow reports as needed
- Assist Tax/ATG departments with the preparation of client extensions
- Typing of client and government correspondence
- Adhere to the firm’s turnaround time for procedures
Financial Statement Processing
- Financial statement processing, including typing, printing, assembly, and binding; comprehensive review for formatting and accuracy; draft t-letter; print shipping label and prepare package materials for delivery
- Save a copy of all processed financial statements in PDF format and upload it to Engagement and Document
- Prepare management, governance, AUP, and t-letters, including typing, printing, and saving in the client file
- Prepare First Research Reports, as requested
- Update all audit department publications
- Scan client information and other documentation into Engagement, as requested by the audit team
General Support
- Assistance with special projects, as needed
- Scan documents, provide copies, search for files, etc.
Miscellaneous
- Prepare FedEx packages and take them to FedEx pick-up location before scheduled daily pick-up.
- Prepare courier packages and arrange for pick-up/delivery
- Office phone support; answering and transferring calls
- Postage items to be mailed, including taking certified mail to the post office
- General knowledge of office equipment
- Assist fellow administrative team members with projects as needed
- Provide necessary support to all departments and offices of the firm
Requirements
- A minimum of 2 years of experience in an office environment
- Proficient with Microsoft office
- Proficient Adobe
- Proficient general office and computer skills; working with electronic files, saving pdf files, etc.
- Must be a team player and have a can-do attitude
- Strong, soft skills
