Responsibilities
The Document Control Supervisor works at the United States Postal Service (USPS) Central Repair Facility (CRF) in Topeka, KS. The CRF is a depot repair facility for USPS mail processing, delivery, and bulk mail systems repairable parts. Examples: repairing printed circuit boards, electrical, electronic, mechanical and electro-mechanical assemblies to component level. The CRF provides depot level maintenance for essential automation, mechanization, retail and bulk mail processing systems used in all mail processing and retail installations.
The Document Control Supervisor performs assigned editing tasks on highly structured technical and non-technical documents, adhering to prescribed contractual, technical, literary specifications, and standards. Supervises several employees involved in the publication of drawings, schematics, and repair specification books. Responsible for version / document control in an ISO 9001 environment. Assigns projects and tasks assigned to the organizational group performed by Unionized, non-exempt and/or exempt employees.
Specific tasks include:
- Coordinates and edits technical and literary documents that may be originated by technical writers or other members of the contract or USPS staff
- Ensures grammatical correctness, proper format, consistency of technical terminology, and clarity of presentation
- Ensures document is editorially prepared for publication as directed by contractual requirements and is in strict compliance with USPS document formatting requirements
- Ensures all editorial comments are appropriately annotated on the draft to the correct format for final copy preparation
- Provides personnel with suspense dates for various portions of work in order to comply with contractual schedules
- Trains newly assigned personnel in current methods, policies, and procedures pertinent to editorial functions
- Responsible for daily operations of a team with direct supervision of the staff, assignment of work, schedules, day to day workflow
- Attends internal technical review meetings for vendor deliverables on new system contracts
- Provides information pertaining to the addition and deletion of depot repair items to the COR for approval and status to appropriate USPS program manager
- Extensive contacts with internal personnel and outside customer representatives at various management levels concerning operations or scheduling or specific phases of projects or contracts
- Conducts briefings and participates in technical meetings for internal or external representatives concerning specifics operations
- Performs other related duties and tasks as assigned
Qualifications
Education and Experience:
- Requires 5 years with Bachelors; 3 years with Master's (or equivalent combination of training and professional work experience that provides the required knowledge and skills).
Required Experience:
- Minimum of three years directly related experience with a comprehensive knowledge of industry specifications and standards
- Comprehensive knowledge of composition, grammar, rhetoric, editing, graphic arts, and reproduction processes
- Comprehensive knowledge of technical terminology
- Minimum of three years of experience in a supervisory role
- Communicate effectively, both orally and in writing
- Proficient with MS Office (Outlook, Word, Excel, PowerPoint, Project)
Desired Experience:
- Experience with test repair methodologies
- Familiarity with AUTOCAD, AUTODESK, or Inventor software
- Proficient project management skills
- Lean Six Sigma and ISO 9001 experience or training
Physical Requirements:
- Sedentary work
- Exerts up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects
