What are the responsibilities and job description for the Sales Administrative Assistant position at PGT?

The Administrative Assistant will remain an integral part of the front desk team, however, the primary responsibilities now will be to act as the key ‘go to’ for all sales related administrative needs and communications for all factory sales reps and internal personnel. 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Front Office Administrative Staff

Compile lead worksheets for the next day

Confirm lead appointments

Set or Reschedule appointments

Assign leads to sales rep and email drawings/NOC

POC for all Sales related communications for administrative staff: Emails, contract documents, vouchers, ALL addendums, drawings, finance changes etc. using: Sales Mailbox: (TPA-Sales@newsouthwindow.com)

Create files and uploads all contract documents into LP

Confirm and review all financing and upload into LP - verify Sales Slip accuracy

Coordinate approvals of contract/commissions with Misty and Dave Meehan

Upon File creation and completion: sends email with completed files to all administrative staff

Creates sales performance reports as needed

Partner with Sales Manager: Meetings, New Hires, Uniforms, etc

POC for call center

Help assist with open house

- This position will also help manage documents or payments that need to be distributed to other admins, the office manager, or production that go into the Tampa Sales email.

  • Usual office environment with frequent sitting, walking, and standing, and occasional climbing, stooping, kneeling, crouching, crawling, and balancing.
  • Frequent use of eye, hand, and finger coordination enabling the use of office machinery.
  • Oral and auditory capacity enabling interpersonal communication as well as communication through automated devices such as the telephone.
