We are hiring at PHASE-Industries for a Office Manager for our Mora location. We are looking for someone who:
- Supports senior leadership with duties as requested, which may include finance, human resources, programming, etc.
- Assists members of the public and employees by answering questions and fulfilling business needs by email, fax, telephone, and in person.
- Meet and greet guests with courtesy and direct them to appropriate personnel.
- Makes travel arrangements for senior staff and other staff as directed, such as, booking flights, cars, and hotel or restaurant reservations.
- Consistently follow instructions using sound reasoning and judgment.
- Operates various office machines such as computers, printers, copiers, calculators, fax machines, multi-line telephones.
- Ensures proper care and preventative maintenance in the use of equipment and supplies at the primary location and sometimes assists with satellite locations.
- Enters data in various computer programs for inventory control, updating accounts, maintaining records, generating invoices and reports.
- Assists in daily operations of the office including ordering supplies, organizing and maintaining computer data and hard copy files.
- Serves as liaison to 3rd party vendors, such as, IT, security, vending, etc.
- Assists with the preparation of bank deposits and performing bank runs as required.
- Serves as the custodian for petty cash.
- Completes accounts payable and accounts receivable paperwork as directed.
- Become knowledgeable of corporate security systems.
- As requested, makes deliveries between of supplies and corporate mail between sites.
- Promotes workplace safety by ensuring rules are followed.
- Completes weekly checks to ensure all first aid kits are properly stocked with the correct supplies.
- Receives mail and distributes it to the proper person/branch.
- Data Entry Experience.
Requirements:
- Must possess a valid MN Driver's License with clear driving record and carry automobile insurane.
- Must have a high school diploma or GED.
- Must have 3 years of Administrative Assistant experience.
- Must have some bookkeeping/accounting experience.
- Ability to pass a MN DHS Background Study.
- Some education in bookkeeping an or combination of demonstrated experience working with bookkeeping software, understanding accounts payable and accrual method of accounting.
- Knowledge of Microsoft Word, Excel, and Outlook, Microsoft PowerPoint, Adobe Acrobat, and QuickBooks or similar bookkeeping software.
- Demonstrates understanding of office supply and asset inventory management & control.
- Demonstrates professionalism, confidentiality, a welcoming presence, and the desire to serve those with special needs.
