What are the responsibilities and job description for the HRIS Optimization Specialist position at Piedmont?

The HRIS Optimization Specialist is responsible for a broad range of technical and administrative system functions within the HR Department, including management of the HRIS System, Optimization, Support of HR Initiatives through System Configuration, Research for expanding now functionality, and ongoing training all UKG Modules (Core, Benefits Administration, Recruiting, Learning, Onboarding, Workforce Management, etc). 

A successful candidate must demonstrate critical thinking and sound judgment. The candidate must work well in a team setting and independently with a focus on deadlines and with excellent service. Candidates with a strong interest in growing and learning professionally will excel in this position. The role will be to support and interact with various departments. 

Responsibilities include, but not limited to: 

 Works primarily in UKG as the HRIS Administrator, serving as a technical point of contact, ensuring proper configuration and data integrity, and providing excellent customer service to end users of the system.  

  • Manages the system and conducts regular audits to ensure data integrity.  
  • Maintains a high level of accuracy and punctuality in processing information into a time management system (UKG Dimensions) and the HRIS system (UKG Pro).  
  • Establishes and maintains department electronic records and reports. 
  • Partners with HRBPs, Benefits, Payroll, Finance, and IT teams to ensure data integrity by analyzing data, creating, and running audits, and ensuring data flow and electronic files are accurate.  
  • Identifies, researches, and troubleshoots system issues and escalates, as needed, to work with vendors to resolve.  
  • Performs system maintenance, including assisting in the review, testing, and implementation of system upgrades or patches.  
  • Proactively collaborates with key stakeholders to coordinate the needed upgrades or changes.  
  •  Makes recommendations for system enhancements that benefit our employee experience and support company goals.
  •  Research for expanding new technology offered through UKG (all modules)
  • On-going training for all UKG Modules  

Qualifications/Requirements:  

  •  At least 5 years of experience in a mid-to senior level HRIS or System Analyst role.  
  • Workforce Management (Dimensions) knowledge – must be advanced or expert.
  • Advanced knowledge and experience with configuring and administering HRIS and Time Management Systems, preferably with UKG and/or Kronos.  
  • Proven and demonstrated project management skills.  
  • Ability to handle multiple, complex, “priority” projects simultaneously and meet established deadlines.  
  • Ability to prioritize time across projects that have varying complexity and competing deadlines.  
  • Strong organizational skills.  
  • Ability to take initiative and work independently.  
  • Strong and proven communication (written and verbal) skills and relationship building skills.  

Experience working with others to implement processes, systems, and tools that increase accuracy, effectiveness, and efficiency.   

  • Excellent decision-making abilities.  
  • Ability to work in a high-pressure work environment with minimal supervision, with the ability to stay calm under pressure and be nimble when last-minute changes are required.  
  • Strong integrity with a high level of discretion.  
  • Demonstrated working knowledge and proficiency with the use of payroll auditing and time preparation.
