JOB SUMMARY 

Greets all Pioneer visitors and escorts them to their destination; receives and directs phone calls; acts as a single point of contact for: office related employee requests, phone issues and office equipment related problems.  Provides administrative and HR support.

 

DUTIES & RESPONSIBILITIES

Admin & Field Support

  • Collects weekly timesheets and submits to payroll.
  • Prepares and ships all required project and employee paperwork to the field at the start of every project.
  • Handles office and shop copy needs.
  • Sorts and distributes all incoming mail, prepares all outgoing mail including UPS for Mason office.

Corporate Support

  • Provides administrative support for all leadership.
  • Schedules internal and external meetings.
  • Orders food for internal and external meetings.
  • Provides first level of support for general office equipment operation and calls for service when required.
  • Assists with company events i.e. picnic, year-end meeting etc.
  • Orders office supplies.
  • Keeps fax/copy room and kitchen stocked, clean, and orderly.
  • Orders business cards for new hires and refills.
  • Maintains and prepares career fair kits for recruiting.

Customer Service

  • Answers phone & directs calls for all offices.
  • Greets visitors entering organization and directs them to the correct destination.
  • Makes reservations at local hotels for visiting employees and guests.

PM Support

  • Makes job folders and files for Project Manager’s.

HR Support

  • Supports HR Team with onboarding new employees.
  • Schedules interviews for candidates.
  • Sorts through resumes reviewing and recommending potential candidates.
  • Supports HR Team with paperless files by scanning, naming, and uploading of documentation.
  • Performs miscellaneous job-related duties as assigned.


JOB REQUIREMENTS 

  • High School Diploma.
  • Bilingual, Spanish preferred.
  • One year using Microsoft Office, specifically Word and Excel.
  • One year minimum relevant work experience or Associates Degree.
  • Expresses thoughts, ideas, and technical information as well as resolves conflict effectively.
  • Passion for internal and external customer service.
  • Works well under the pressure of time constraints and changing expectations.
  • Strong organizational skills and focus on detail required.
  • Previous history of successfully managing multiple work assignments.
