Pittsburg State University invites applications for the position of Accountant II for the department of Advancement Services. The primary function of the Accountant II is to assist with Foundation accounting, auditing, reporting, gift processing, and fixed assets.
Duties and Responsibilities
25% - Auditing Expenditures – Review assigned Foundation-funded expenditures processed through the accounting system (GUS Cloud) to ensure that all transactions adhere to donor intentions, availability of funds, correct general ledger coding, and appropriate documentation required for IRS compliance and FASB regulations. Deter if all requirements have been met to approve or reject the transaction.
20% - Gift processing – Assist with recording charitable contributions (cash, checks, credit cards, securities, etc.) entries into the donor database system to the appropriate donor-designated account on a timely basis for monetary or in-kind gifts given to Pittsburg State University Foundation while adhering to all IRS charitable giving rules, PCI compliance and other federal and state regulations.
15% - Reporting – Assist with the preparation of internal and external reports to include regularly scheduled and any committee or board reports and information pertaining to Pittsburg State University Foundation.
10% - Budget tracking – Prepare monthly budget tracking reports for all University Advancement divisions.
10% - Fixed Assets –Regularly record and tag all Pittsburg State University Foundation assets. Fixed assets shall be identified and recorded in a permanent file including photo, asset number, location, date of purchase, and purchase documentation reference. Annual or semi-annual physical audits of asset inventory shall be completed in order to monitor acquisitions, retirements, and potential loss of assets.
10% - Foundation procurement card – Reconcile all transactions occurring through the Foundation procurement cards issued. Ensure that all documentation is provided, ensuring a complete audit trail for the transactions. Accurately audit, record, and post to the general ledger system once approvals have been received.
5% - Outstanding checks – Monitor and review on a routine basis outstanding checks by contacting payees. When a check has been lost or destroyed, attain the appropriate, completed form from the payee and submit a stop payment notification. Upon verification of the stop payment, request a replacement check be issued to the payee. For any outstanding checks older than a year with multiple attempts for the payee to cash the check, prepare a stop payment and submission to the State Treasurer’s Unclaimed Property.
5% - Other Duties – as assigned by supervisor or other senior staff.
Education and Experience
Required Education and Experience at Hire -
- Bachelor’s degree in Accounting, Business or Finance
- Experience using Microsoft Excel
Preferred Education and Experience -
- Two years of accounting or auditing experience

Work Schedule: Full Time – Monday through Friday, 8:00 am – 4:30 pm, some evenings and weekends
