Job Description:
We are seeking a dedicated and organized Administrative Assistant to join our School Administrative Unit Staff. The ideal candidate will provide crucial administrative support to ensure the smooth operation of our District and assist in fostering a positive learning environment for our students.
Responsibilities: The following list outlines the various duties associated with this position and is not exhaustive:
- Handle incoming calls courteously, directing them appropriately.
- Coordinate interactions with the School Board.
- Maintain the confidentiality of records and ensure their accuracy.
- Handle incoming and outgoing mail and correspondence efficiently.
- Exhibit self-motivation and the ability to work autonomously.
- Prepare and maintain reports, records, and files accurately.
- Screen calls, visitors, and mail for the administrator, redirecting when necessary.
- Independently compose routine correspondence and distribute communications as needed.
- Provide information on policies and procedures as needed.
- Represent the district professionally in interactions with staff and vendors.
- Maintain both manual and electronic document files and records effectively.
- Demonstrate exceptional customer service, interpersonal, and diplomatic skills.
- Adapt to shifting priorities and interruptions while exercising sound judgment.
- Coordinate office procedures and implement communication processes seamlessly.
- Proficient in Google Docs and capable of learning the district’s software programs.
- Exercise discretion with confidential information regarding staff.
- Ability to learn and maintain student data in the district Student Information System.
- Generate state mandated reports
Requirements:
- High school diploma or equivalent; additional education or training is a plus
- Proven experience as an administrative assistant or similar role.
- Excellent communication and interpersonal skills
- Proficiency in Google Workspace (Docs, Sheets, Gmail, Calendar)
- Strong organizational and multitasking abilities
- Attention to detail and accuracy in data entry
- Ability to maintain confidentiality and professionalism
- Prior experience in a school setting is preferred but not required
