Client Service Assistant

The core responsibilities of the Client Service Assistant are to manage appointment scheduling, to open, track and update financial accounts, and to perform administrative and clerical duties. The Client Service Assistant strives to conserve the advisor’s time commitments and to achieve professional excellence through experience coordination, service, and management. The assistant contributes to a timely and trustworthy client experience to help support our growth.

Client Experience

  • · Welcome guests and clients by greeting them, in person or on the telephone.
  • · Answer or direct inquiries and service requests.
  • · Provide appointment reminders.
  • · Appointment prep and management.
  • · Maintain client confidence.

Goal Management

  • · Provide planning support and execution.
  • · Track team and individual goals as needed.
  • · Conserve time through reading and reference, case preparation, and by drafting documents and correspondence.

Client Account Opening and Monitoring

  • · Prepare Account Applications for client signatures.
  • · Review and finalize account application after client appointment.
  • · Scan and file
  • · Mail & FEDEX checks and/or account applications.
  • · Track application progress
  • · Address alerts and notifications as required.
  • · Update financial accounts status and tasks.

Redtail Responsibilities

  • · Log all client calls – incoming and outgoing.
  • · Assign and update tasks
  • · Track and manage Client Information and activities
  • · Prepare Birthday, Anniversary and Annual Review reports

Wealth Management System Responsibilities

  • · Build Client information as needed.
  • · Create, Monitor and Implement Client account linked with WMS
  • · Run needed reports for client meetings.

Administrative Duties

  • · Manage supply inventory, anticipate office needs, and product orders.
  • · Prepare meeting and conference room space for appointments.
  • · Address small office operation’s needs: change water, clean coffee cups, etc.

Clerical Duties

  • · Scan and file all current client notes, account documents, and correspondence.
  • · Voicemail management.
  • · Provide professional and technical knowledge.
  • · Provide administrative writing and communication skills.
  • · Manage incoming mail and associated tasks.

  • Be highly communicative, friendly, and be able to thrive in a fast-paced environment.
  • Work well individually and as team player.
  • Be able to use resources to solve problems and achieve objectives.
  • Have basic typing and computer skills (experience in Outlook, Word and Excel preferred)
  • Thorough understanding of social media and the web preferred.
  • Ability to work under tight deadlines, prioritize and anticipate next steps.
  • Strong ethical standards in working with confidential client information

Experience

  • Associate degree or equivalent.
  • Administrative/Customer Service/Client Services
  • Investment and/or Life Insurance Background (preferred)

Hours:

  • Part time Monday through Friday, 8:30am-2:30pm (negotiable)

Job Type: Full-time

Pay: From $17.50 per hour

Expected hours: 35 – 40 per week
