Plastic Hand Surgical Associates is a leading reconstructive, hand and cosmetic surgery physician practice. Our day surgery center is fully accredited by the Accreditation Association for Ambulatory Health Care (AAAHC). We provide patients with individualized care in a comfortable, private setting.
We are looking for an experienced surgical/medical schedulers to join our busy practice. Responsibilities include working with our physicians and team of coordinators to schedule patients for surgeries, procedures and appointments.
The successful candidate will have previous similar experience in a medical practice. Excellent customer service and organizational skills are required, in addition to the ability to work as part of a team in a fast paced environment. Ability to maintain patient confidentiality also required.

REPORTS TO: Patient Services Manager
General Responsibility:
Coordination and facilitation of physician schedule to ensure optimal scheduling.
34 Hours Weekly, 4 days per week.
Job Function
1. Answer phone calls regarding scheduling for physicians.
2. Screen for urgency in emergency situation. Document according to office protocol.
3. Scheduling & rescheduling of office appointments to include new patients, follow-ups, therapy, and depositions and admissions or transfers and from
Notify the patient and make all appropriate changes in EMR.
4. Coordinating of outside appointments - referrals to other physicians such as bone scans, nerve conduction studies, CT scans, MRI’s, Hand therapy and mammograms
Ensure that the patient has followed through with the appointment.
5. Scheduling of all surgical procedures at WADSC, MMC, SSC, CMMC, SMHC, and Mercy.
Coordination of surgical, pre-operative, and post-operative appointments. Complete surgical packets, consents, and necessary forms for surgery. WADSC packets are filed in pre-op nurse office.
6. Communicate daily with doctor and P.A. to enter hospital patients into EMR for charge entry.
7. Scanning of all correspondence for physician to review. Communicate daily with doctor and P.A. to record hospital visits, hospital consults and any hospital surgeries.
8. Coverage for coworkers in their absence - vacation, time off, etc.
May include on calls, office patients, referrals, surgery and appointment scheduling, messages and to-do’s.
9. ON CALL - Must be available 8am- 5 p.m.
Management of incoming calls and referrals from physician on call shifts. This could include entering patient demographics, scheduling of appointments and sending information for surgery authorization.
10. Maintain order in respective doctor’s office. Prioritize what needs attention.
Organization, prioritization, and follow through are very important.
11. Send appropriate information to authorization team for surgery prior authorization approval.
12. Provide excellent customer service and communication at each level of patient contact.

13. Respond in positive cooperative manner regarding your job and assisting others with job related duties.

EDUCATION/TRAINING/ EXPERIENCE
1. High school graduate.
2. Prior experience in a medical office.
3. Excellent phone and face to face communication skills.
4. People skills to facilitate interaction with patients, physicians and staff
5. Maintain complete and accurate records – attention to detail.
7. Maintain confidentiality of reports and patient information
7. Answer questions with tact, discretion and accuracy.
8. Prioritize work assignments and daily demands and adjust priorities as circumstances require.
9. Experience & knowledge in use of computers.
PHYSICAL REQUIREMENTS:
1. Requires very accurate vision - to read print on insurance cards and all written office communications.
2. Ability to effectively communicate with patients and staff face-to-face and over variety of communication devices. (I.e.: telephone, fax machine)
3. Ability to operate office equipment (computer, copier, fax machine).
4. Ability to lift at least 10 pounds (charts) at least once per day.
5. Ability to perform frequent hand/wrist repetitions to perform frequent pinching (Job requires use of both hands).
6. Ability to perform frequent reaching/prolonged sitting.
7. Stamina to maintain active mobility throughout 2-story building.
