Position Summary:
Reporting to the Chief Operating Officer, the Administrative Assistant will provide administrative support to ensure efficiency for the operations function of the Museum.
Essential Functions:
- Assist with administrative functions of operational team supporting the Chief Operating Officer (COO) and other operations team members, as needed.
- Identify issues requiring the COO’s direct attention and re-direct others that can be addressed or facilitated by others on the COO’s behalf. When appropriate, follow up with all responsible parties to ensure resolution of inquiries. Communicate status of projects to COO regularly.
- Draft letters and other short texts in a manner consistent with the tone and messaging of overall routine correspondence with the direction or on behalf of the COO
- Manage small projects or coordinate small events, as assigned.
- Compile background materials for meetings in a timely manner.
- Collaborate with Database Manager to conduct research and compile data, statistics, and other necessary information, as needed.
- Other duties may include general filing, opening and distributing department mail, document preparation and other tasks as assigned.
Minimum Qualifications:
- Associates Degree or equivalent and 3-5 years progressively responsible administrative experience required.
- Advanced level knowledge in Microsoft Office Suite. Working knowledge with traditional and newer forms of communication and interest and ability to learn innovative technologies.
- Exceptional attention to details, excellent organizational skills and capable of balancing multiple projects.
- Must be able to work independently and exercise initiative, as well as be a dedicated team player.
- Ability to work under pressure and deal with difficult and highly- sensitive situations. Maintain confidentiality in all matters.
- Outstanding interpersonal skills; experience working with people at all levels.
- Excellent problem-solving skills required; must be able to recognize deadlines and prioritize work accordingly.
- Exceptionally reliable and high level of understanding and practicing the need for confidentiality.
- Must have PA Criminal History, FBI fingerprints, and PA Child Abuse Clearances. All background check clearances must be completed prior to hire.
- COVID-19 vaccination and booster as well as an influenza vaccination are required for hire.
Job Type: Full-time
Pay: $40,000.00 - $42,000.00 per year

COVID-19 considerations:
KN95 grade masks provided to staff. Museum exhibits and props disinfected and sanitized daily. Visitors over 12-months of age required to wear masks. COVID-19 vaccination and booster as well as an influenza vaccination are required for hire.
