Job Summary:
The Executive Assistant performs a variety of administrative tasks and supports our company’s senior-level managers.
Responsibilities:
Acts as the point of contact among executives, employees, clients and other external partners.
Creates, maintains and distributes various reports including but not limited to daily sales, monthly leadership team and department, market research, action plans and quarterly business reviews.
Learns new reporting systems/tools in order to create reporting efficiencies; keeps current on knowledge and new functionality of reporting systems.
Manages executives’ calendars and sets up meetings; updates and edits changes as applicable ensuring proper communication.
Makes travel and accommodation arrangements.
Formats information for members of the Management and Leadership Teams – memos, emails, presentations, reports, etc.
Screens and directs phone calls and distributes correspondence.
Reviews and approves paid time off (PTO) requests.
Organizes and maintains the office filing system (electronic and hard copies).
Other job-related duties as assigned.
Requirements:
Work experience as an Executive Assistant, Personal Assistant or similar role.
Strong computer skills including use of MS Office programs with an emphasis on MS PowerPoint and MS Excel.
Excellent time management and organizational skills.
Strong communication skills, both written and verbal.
Good customer service and interpersonal skills.
Ability to recognize critical issues and respond with urgency.
Ability to maintain confidentiality and discretion is a must.
Follow and carry out instructions with minimal supervision.
Ability to analyze P&L’s and understand business math (preferred).
