Who We Are Looking For:
A successful Event Coordinator works with our event planning and design teams to support the project management and project delivery tasks for our Events team, with the ability to support multiple concurrent events.
What Your Day Could Consist Of:
  • Developing and managing project schedules, including working with individuals to collect schedule data and reporting on this information to staff, clients and vendors
  • Interpreting data from multiple sources in multiple formats to create concise information
  • Project tracking and reporting using tools for internal project management and external project coordination with clients and vendors
  • Support event planning by assisting with administrative functions, such as scheduling meetings, ordering supplies/equipment, creating presentations, task coordination and follow up
  • Researching commodities and vendors in designated areas and present findings with recommendations on selection
  • Managing contracts/agreements between vendors and the client; ensuring all documents state correct scope, obtain signatures and organize final copies for reference
  • Facilitate with vendors for order placement, information gathering and invoicing of the client
  • Tracking and managing vendor invoicing
  • Coordinating staff, vendors for their event credential requirements
  • Coordination of detailed schedules, delivery operations, load-in/load-out planning and operations
  • Recruiting, contracting and managing multiple sport managers and officials for various events
  • Coordination of planning meetings and site visits to include external communication, locking in venues for tours, building agendas, documentation of notes and track of post responsibilities
  • Lead a team of internal and external individuals and actively communicate updates, changes, project plans and event designs with team members
  • Work with consultants to get insight recommendations on project plans and venue designs in coordination with the design team
  • Roadmap and design an athlete registration and/or volunteer registration to be used across multiple events
  • Communicate project plan and event ideas to senior leadership across internal and external parties

Requirements For Success:
  • Experience with grant writing and grant administrative is required.
  • Experience with officials and sport managers/coaches to include but not limited to: hiring, training, onboarding, payroll and managing.
  • Experience with volunteer registration and/or volunteer management.
  • Experience with multi-day, multi-sport events or multi-day, same sport events.
  • Experience managing a team both internal and external.
  • Previous event related project management experience, a plus.
  • Excellent organizational skills and efficiency in time management.
  • Ability to coordinate and manage multiple projects simultaneously.
  • Willingness to be flexible to manage shifting priorities, project requirements, demands, and timelines.
  • Ability to effectively prioritize.
  • Ability to identify areas for improvement in our work processes and take initiative to implement them.
Essential Qualifications:
  • 5-8 years’ experience in the event industry.
  • Demonstrating proficiency in Microsoft Office; advanced understanding of Excel/database relationships and Smartsheet, a plus.
  • Technical Savvy – quick to pick up new tools/software/platforms.
  • Excellent written and verbal communication skills.
  • Ability to work independently and in a team-oriented, collaborative environment.
  • Displays the highest levels of integrity and commitment.
  • Builds internal and external relationships.
  • An ability to deliver excellent results.
Additional details:
  • Travel will be required - Ability to be on-site globally from 1 week to 3 weeks depending on the event.
  • Ability to work overtime, evening, nights and weekends where applicable for events.
Compensation:
The projected salary range for this opportunity is $64,000.00-$72,000.00 annually and may be more or less depending on skills, experience, and education.
