As our ABA Scheduler/ Receptionist you will be responsible for assisting our Billing and Scheduling Department in managing all aspects of in-home therapy schedules between clients and direct care staff.
This individual will regularly keep track of the scheduled availability of ABA clients and Behavior Therapists' daily shifts.
You will also be the first point of contact for our company, welcoming guests and greeting those who visit our corporate office as well as coordinating all front-desk activities.
Along with greeting visitors, and helping them navigate through our corporate office, you will also maintain the appearance of our front desk/waiting area.
Qualified candidates are well organized and self-motivated with outstanding time management skills. Exceptional customer service skills are a must for this position.
Roles and Responsibilities:
Utilize Outlook Calendar and Central Reach to manage ABA session schedules of up to 50 clients and direct care employees.
Collaborate with department leads to communicate staff needs and day-to-day changes to shift schedules.
Manage session cancellations, reschedules, callouts, and time frame adjustments promptly.
Ability to work in a fast-paced office environment and report to Covina and San Dimas offices for meetings and other necessary responsibilities.
Communicate accordingly with parents to review session schedules.
Contact parents regularly to inquire about individual health conditions to comply with COVID-19 safety protocols.
Organize, manage, and file incoming session notes for billing purposes.
Maintain a positive attitude when communicating with families.
Engage in HIPAA-compliant oversight.
Welcoming Clients and Guests.
Coordinating all front-desk activities.
Maintain the appearance of our front desk/waiting area.
Other Administrative Duties as needed.
Qualifications:
Must be fluent in English and Spanish
Required two years of prior staff scheduling experience. (Past work history with ABA scheduling is highly preferred).
Excellent Customer Service Skills.
Knowledge of healthcare systems and compliance with Medicare funding sources.
Strong knowledge of PPOs.
Knowledge of applied behavior analysis is a plus.
Always demonstrate exceptional customer service skills.
Word processing and database management experience.
Must be able to work in a fast-paced environment and possess the ability to adapt to changes.
Be able to multitask and meet deadlines.
Willing to work after-hours and sometimes weekends.
