Facilities Director Job Summary:

Job Description: The Facilities Director is responsible for overseeing all maintenance activities at all properties. They are tasked with improving and standardizing quality of services and products used in the maintenance of properties. The Facilities Director works closely with all Maintenance Supervisors to ensure excellent customer service to residents and all maintenance issues are resolved within established guidelines.

Reports to: SVP of Property Management 

Supervises: Maintenance Department. 

Wage Status: Exempt (Ineligible for overtime) 

Job Responsibilities:

 

  • Overseeing all maintenance & facilities staff
    • All Maintenance Staff
  • Being responsible for performing regular inspections and basic routine maintenance on all building systems.
  • On malfunction of systems, perform basic diagnostics and manage third party service vendor relationships.
  • Delegating responsibilities among the maintenance team – including preventative maintenance, work orders, and housekeeping.
  • Monitoring commissioning process and working to ensure maintenance personnel understand new systems being turned over to our company and recording and organizing warranties and guarantees assist with ongoing maintenance program.
  • Implementing and formalizing procedures for utilities, maintenance calls, cleaning, repairs, and general level of care throughout the maintenance and cleaning process in the building.
  • Responsible for annual property inspections, i.e. fire alarm, elevators.
  • Working with SVP of Property Management and PM’s with maintenance budget and capital improvements.
  • Make sure the properties are protected from lawsuits, i.e. slip and falls, common area flaws, sidewalk and grounds clear of trip hazards, etc.
  • Responsible for getting bids for landscaping, turns, and capital improvements.
  • Involved with recruiting, hiring and training new maintenance team members.
  • Ensuring that the utility spaces in the buildings are maintained and kept in a cleanly state.
  • Managing work orders and how they are distributed on a daily basis among the buildings.
  • Working with the SVP of Construction to respond appropriately to unit punch list items.  
  • Safety procedures and training for maintenance and housekeeping staff.
  • Ensure Maintenance Supervisors are managing make-readies by inspecting vacant units, ensuring turnovers are completed within a timely manner.
  • Work with the Property Managers and Maintenance Supervisors on improving emergency preparedness, and emergency response to things like fire alarm activation, elevator recall persons stuck in elevators, power outages, storm readiness, securing properties at the end of the work day etc.  
  • Supervises, trains, assigns work, and provides technical assistance to Maintenance associates when necessary.
  • Provides feedback for performance reviews and recommendations for training.
  • Troubleshoots all property systems, and performs or oversees repairs.
  • Reviews work order logs and sets priorities for work order completion.
  • Establishes and implements auditing procedures for maintenance inventory.  Monitors inventory levels while remaining within established budgets.
  • Reviews contracts and makes recommendations for approvals.
  • Manages subcontracted service providers and documents work and product quality.

 

Requirements:

  • High School diploma or equivalent.
  • Collegiate degree (including vocational) preferred.
  • Refrigerant Transition and Recovery Certification (types I and II) required.
  • 10 years maintenance or construction experience.
  • 8 years experience in a managerial roll.
  • Advanced knowledge of maintenance systems, including inventory control, preventative maintenance, and work order record keeping.
  • Advanced knowledge of mechanical systems and equipment including HVAC, landscaping, carpentry, painting, hydraulic systems, and electric motors.
  • Advanced knowledge in electrical troubleshooting of high and low voltage and the use of diagnostic equipment, including volt/ohm meters.
  • Advanced knowledge in plumbing repairs and troubleshooting.
  • Demonstrated leadership and management skills.
  • Ability to perform heavy lifting (at least 60 lbs), climb ladders up to 24 ft, stand and walk for 8 hours, and perform other physically demanding duties as directed.
  • Attendance is an imperative job function.
