Job Description:

We are looking for someone who can seamlessly manage the flow of projects and drive efficiency within our team.

Responsibilities:

• Client Feedback & Project Coordination:
• Regularly update Trello with relevant data, ensuring that client feedback and project details are meticulously documented and easily accessible.
• Coordinate with clients and internal teams to ensure that everyone is on the same page, and all project aspects are managed smoothly.

• Project Flow Familiarity:
• Quickly get up to speed with the project flow and team dynamics, understanding the nuances of each project and the intricate details that make them successful.
• Act as the central hub of communication between directors and team members, ensuring that everyone is aligned and informed.

• System Building:
• Develop and refine workflows that enhance efficiency and productivity.
• Bring your passion for organization to life by creating systems that streamline our processes and elevate our work.

• Feedback Provision:
• Provide constructive feedback in the absence of a director, ensuring that the team stays on track and maintains high standards.
• Maintain a positive and collaborative team environment while delivering feedback.

• Quality Assurance:
• Bring your keen eye for detail to the forefront when QA’ing packaging assets or billboards, ensuring that every element meets our high standards.
• Ensure that every detail is perfect, leaving no room for errors or oversights.

• Task Tracking:
• Maintain a comprehensive overview of both micro and macro tasks, ensuring that deadlines are met and no detail is overlooked.
• Use your organizational skills to keep projects on track and ensure that nothing falls through the cracks.

• Client Meetings:
• Attend client meetings with confidence, recording impeccable notes and ensuring that all client needs and feedback are captured accurately.
• Be the reliable point of contact that clients trust to handle their projects with precision.

• System Implementation:
• Implement systems that track the progress of the company and employee/project performance, ensuring that we continuously improve and excel.
• Use data and insights to drive better performance and outcomes for the team.

• Team Collaboration:
• Work closely with the main directors of the agency, as well as groups of employees, fostering a collaborative and supportive work environment.
• Ensure that communication flows smoothly between all team members, enhancing overall productivity and cohesion.

Qualifications:

• Proven experience as a Project Manager or similar role.
• Exceptional organizational skills and a passion for building and improving workflows.
• Excellent communication skills, with the ability to effectively relay information between team members and directors.
• Keen eye for detail and strong quality assurance skills.
• Ability to track multiple tasks and ensure deadlines are met.
• Experience in attending client meetings and taking detailed notes.
• Proficiency in Trello or similar project management tools.
• Comfortable providing feedback and managing team dynamics in the absence of a director.
• Ability to work collaboratively with both directors and groups of employees.
