The objective of the Service Coordinator is to support the office and management of Mechanical Service. This role is the first contact for customers and vendors and will direct communications to the proper person as well as support the field staff. Day to day assignments will vary and our Service Coordinators must be able to prioritize needs to ensure the office is running smoothly, following company processes, and communicating with corporate office.
JOB DUTIES AND RESPONSIBILITIES:
· Be the initial contact for Customer and Vendors.
· Answer and direct incoming calls
· Receive and coordinate service call requests.
· Work order management for service team
· Coordination of shipping for operational staff
· On-site Inventory reconciliation
· Billing of customer invoices quoted and time and material.
· Approve and prepare A/P for home office.
· Facilitate information for Account Managers and research when necessary.
· Service contract creation billing
· Prepare various reports as requested.
· Creation and maintenance of customer related files
· Receive deliveries and mail.
· Maintain office supplies, restock by delivery or trip to Sam’s, Wal-Mart or Office Depot
· Assist and train technicians with time entry, refrigeration logs, and other reporting requirements.
· Other duties as assigned
SKILLS AND QUALIFICATIONS:
· 2-4 years’ experience in an accounting department
· Excellent customer service
· Able to communicate effectively with employees of all levels.
· Analytic and detail oriented
· Proficient skill level with Microsoft Excel
· Intermediate skill level with Microsoft Word, and Outlook
· Experience working in the HVAC Industry.
· Experience working in the skilled labor service industry.
