Powerstone Property Management, a fast growing community association (HOA) management company is seeking a full time Administrative Assistant (Associate Manager) at its satellite office in Carlsbad, CA . Job Description:
This position will provide the following administrative support to Community Association Managers and the communities they manage:
- Issuing work orders, violation letters, and drafting correspondence.
- Prepare and administer association mailings.
- Assist with property inspection reports and follow-up action items.
- Assist with architectural plan processing and applications if needed,
- Handle customer service calls and office visits from homeowners and vendors.
- Maintain any events calendar and provide facility keys/fobs for designated communities.
- Assist with board meetings, committee meetings and any community events.
- Perform receptionist relief duties as part of the administrative team.
- Other administrative duties as assigned.
Requirements:
- AA Degree and/or High School degree and between 1-3 years of related experience, or equivalent combination of education and experience. HOA industry knowledge a plus.
- Excellent written, verbal and interpersonal skills.
- Strong customer service skills coupled with problem solving/analytical skills.
- Must be organized, detail oriented and able to multi-task in a fast pace environment.
- Ability to manage priorities and workflow and meet all deadlines.
- Proficient in Microsoft Word.
- Ability to work independently with minimal supervision.
- Ability to work flexible hours if requested on occasion.
