Customer Service Representative
Department: Customer Service, Aromas

Summary:
Provide ideal customer service by communicating with customers and/or sales staff by following through on every aspect of the order. Ideal customer service is performed by completing the following duties.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
.• Receives customer orders, coordinates all purchase order details, enters orders into the database and prepares orders for shipment.
- Answer incoming calls.
- Answers all inquiries such as tracking, pricing, C of A's, shipments, credits, scheduling, cancellation, adjustments, quotes, warehousing and any other information pertaining to orders, in addition to collecting bill of ladings to create invoices and any of the above aforementioned paperwork.
- Preparing shipping paperwork which includes processing bill of lading, packing list, warehouse instructions, COAs, labels, and freight determination.
- Process returns and work with return coordinator to ensure product is returned and credits are issued.
- Maintaining customer requirements within system (labels, shelf life, etc.)
- Monitor credit holds to ensure that orders are being released or customers are being communicated to.
- Works with assigned Sales person(s) to help analyze customer sales reports in an ongoing basis, to recognize buying patterns by product as requested.
- Maintains contracts (inputs into database, and works with Product Managers and Sales person to manage release dates for products).
- Submits Sample Requests from Sales Staff or Customer.
- Support sales with new customer leads.
- Assists assigned Sales person to help satisfy customer's needs as deemed necessary.
- Additional duties as deemed necessary by the Director of Supply Chain.

- Excellent sales and customer service skills
- Excellent organizational skills and attention to detail
- Excellent time management skills with a proven ability to meet deadlines
- Ability to function well in a high-paced and at times stressful environment
- Proficient with Microsoft Office Suite or related software
- Advanced skills in Microsoft Office (Word, Excel, and PowerPoint) and Salesforce.com.
- Familiarity or general aptitude for ERP systems is preferred
Travel:
Up to 5% travel – for training purposes.

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
- Ability to lift up to <10 lbs.
- Work environment is normally in an office setting. Must be able to make frequent rounds in a warehouse environment
- Ability to view a computer screen and type for extended hours
- Ability to sit and stand for extended periods of time
- Ability to work around a variety of different smells and aromas
- Ability to adjust work schedule as business needs require.
