  • Dependable – You take ownership of the property you manage. Both the challenges and the triumphs are “yours.” You treat the budget like it is your own personal checkbook, making decisions to invest or save with the residents in mind. The tenants know you will be there every day, and they can rely on your constant presence, fair judgment, and consistent expectations that they will uphold their responsibilities. As a result, they are equally confident you will uphold yours.
  • Detail-Oriented and Organized – Each property is genuinely its own business, and you understand that running a business entails maintaining accurate financial reporting and recordkeeping. Some people may look at you funny because you have filed receipts for the first school supplies you purchased with your own money in third grade, but we will look at you with a proud smile because that is evidence that you will be great at this job! You have a set way of doing everything, which will easily translate to a regular process for collecting rent, scheduling preventive maintenance, and handling repairs. You are not concerned at the prospect of looking after leases, renovation paperwork, maintenance requests, eviction notices, and more because your favorite store is Staples, and consequently, nothing slips through the cracks in your world (or filing cabinet).
  • A Great Communicator – You run the show, so everyone is always looking for you, and they should always be able to find you. It is wise to have problems that need solving on multiple people’s radars so it is not a burden for you to respond to inquiries from tenants, vendors, staff, and the corporate office. Not only are you reachable and keep people in the loop, but you are intuitive enough to know when to season the conversation with extra salt (collecting late rent) or sugar (working with a vendor who can give you a good deal). You can convey a precise message with clarity and respect regardless of the situation, which will minimize disputes and conflicts among all the parties you connect.
  • Achievement Oriented – You may have a hundred trophies at home, but not one is for participation. You don’t just play for fun; you play to win. Seeing reports that show more tenants than last month makes you happy. Seeing every maintenance request completed makes you smile, and seeing ledgers that show higher revenue from last year makes you do a little happy dance. Your greatest competition is yourself because no one motivates you like you, and no one else can keep up anyway. Crossing the finish line into the winners' circle is what your dreams are made of, and it translates to a profitable and well-run community you are proud to manage.
  • Autonomous and Independent – You like being the decision-maker and standing on your own feet. Though not afraid to ask for help when needed and grateful for the PRISM family that has your back, you are self-motivated and don’t have to be convinced to be present and do your best. You are inspired to achieve greatness because it is important to you no matter where you are or what you are doing. Showing your supervisor the success you achieve has a two-fold benefit. It is personally gratifying and proves that you function best as the helicopter surveying the scene and are not the scene needing to be surveyed.

It’s obvious that a frantic tenant with a water leak needs immediate attention, but this doesn’t cause you stress. Rather, you step into the nearest phone booth and go “superhero mode” all over the situation. You know that it is not just your responsibility but your chance to show off your prowess when balancing the needs of your tenants, vendors, staff, and corporate co-workers. Your multi-tasking plate-spinning abilities don’t just answer the questions around you; they keep your people and your property safe, happy, and healthy.
  • Prepared and Proactive – Once or twice, you have been accused of being clairvoyant, but the truth is, you think ahead and don’t wait for things to fall apart before you think about how to fix them. Scheduling preventive maintenance, upgrading HVAC systems, and keeping building interiors fresh is your love language because you know that resolving problems before they impact tenants or property values makes your life easier and keeps you looking like a genius.
  • A Relationship Builder – You meet new people all the time; and some are there for a season, and others stay in your orbit for life. Either way, it’s your ability to find common ground with people that enables you to establish connections that can save your property money, save your staff time, and save you energy. Even difficult people eventually treat you with respect because they cannot deny that you authentically offer it to everyone and try to make every situation “win-win.”

RESPONSIBILITIES (Identification of Major Areas of Responsibility, Not All Inclusive)
General Administration:
  • Maintain a professional image and attitude in keeping with the objectives of Prism and residents’ welfare.
  • Maintain courteous communication with residents, applicants, and representatives of other companies.
  • Show vacant apartments utilizing professional marketing procedures and maintain a high level of continued occupancy by leasing property in a timely manner.
  • Check references and other information on resident applications through Prism-approved credit and criminal investigation services.
  • Complete rental agreements.
  • Write advertisements as needed, obtain prices, and place advertisements (with Prism Corporate approval) in the appropriate publications for the best exposure for the community. Submit Prism Concession Approval Form, if applicable.
  • Complete market surveys monthly.
  • Monitor expenses to ensure spending is within guidelines.
  • Process invoices for correctness, accuracy, and proper coding.
  • Collect rents and maintain computer records according to Prism policies and procedures.
  • Post charges associated with work orders, late charges, etc., by entering them into the computer and generating notices for residents.
  • Follow-up delinquent accounts and pursue collections in accordance with established procedures.
  • Prepare/send delinquent accounts to the Director of Multifamily for approval.
  • Complete move-in and move-out inspections and send move-out Final Account Statement to Property Accountant for permanent filing and disbursement of security deposits.
  • Complete and submit Prism Incident Reports for all events that may involve injury and/or damage.
  • Process requests for rent adjustments in accordance with established procedures, including obtaining verifications, entering information into the computer, etc.
  • Maintain tenant files and related documentation regarding continuing eligibility and adjustments.
  • Maintain the property business office in a neat, orderly, and business-like manner at all times with regularly scheduled office hours per established procedures.
  • Perform Assistant Property Manager and Leasing Professional roles as needed.
Tenant Relations:
  • Counsel residents who are not complying with the terms of the lease and concerning delinquent payments.
  • Refer residents with special problems, such as economic, social, legal, health, etc., to groups or agencies that provide assistance or to the resident services coordinator, as appropriate.
  • Resolve conflict and complaints among residents, if possible, in order to avoid grievances.
  • Recommend eviction if resident behavior warrants, and prepare related documentation to support the recommendation.
  • Schedule and complete customer surveys in order to identify resident needs, assess the quality of services, etc.
  • Participate in hearings and appeals as needed.
General Repair and Maintenance, Including Grounds Maintenance:
  • Oversee all work associated with the upkeep and maintenance of the grounds.
  • Log all resident complaints and dispatch maintenance personnel promptly. Items covered under warranties should be reported to the appropriate maintenance companies and followed up for prompt repairs.
  • Generate work orders in response to requests for repairs from residents, coordinate completion of repairs, and close out work orders in accordance with established procedures.
  • Conduct property inspections, including move-in, housekeeping, and grounds, in order to assure adherence to established standards.
  • Assist with security activities by communicating with security personnel regarding specific problems and participating in "knock and talk" as needed.
  • Be available at all times, either personally or through other site personnel, for emergency calls.
  • Participate in Capital Project meetings, inspections, and final punch.
Supervising Personnel:
  • Participate in interviews and make hiring decisions as needed.
  • Interpret and apply personnel policies, departmental policies, and other relevant policies and procedures.
  • Review time and leave reports for assigned staff and enter into TLO.
  • Counsel employees regarding job performance and document in accordance with established procedures.
  • Hire, train, supervise, provide disciplinary action, and (sometimes) terminate site staff.
  • The Property Manager is authorized to delegate authority to key employees. The Property Manager's responsibility is always primary, even for activities delegated to subordinates.
PHYSICAL REQUIREMENTS
  • Must be able to lift 25 pounds, bend, stand, and sit for long periods of time, as well as climb up and down a full flight of stairs in excess of 6 times a day.
  • Must be able to see, hear, speak, listen, and perform duties as instructed.
  • Must be fluent in English. Spanish is a plus but not required.
EDUCATION
  • Must have a High School Diploma or equivalent.
  • A bachelor’s degree in management, business administration, social science area or closely related fields is preferred but not required.
EXPERIENCE
  • Previous experience as a leasing professional and/or assistant property manager is highly preferred.
  • Previous experience as property manager preferred.
SKILLS
  • Knowledge of Prism policies and procedures, particularly as they pertain to property management.
  • Knowledge of Department of Housing and Urban Development ("HUD") rules and regulations that apply to property management.
  • Knowledge of Fair Housing Laws, Landlord-Tenant Law, OSHA Standards, and local and state building codes.
  • Knowledge of basic office practices, procedures, and equipment.
  • Knowledge of the operation of the Prism computer system and software.
  • Knowledge of the agencies that provide assistance and services to residents, including some knowledge of eligibility requirements.
  • Knowledge of mathematics sufficient to perform calculations required for summarizing rent collections, making deposits, and for rent adjustments.
  • Ability to procure goods and services in accordance with Prism procedures and in keeping with the assigned Operating Budget for the property.
  • Ability to establish and maintain effective working relationships with peers, superiors, residents, community service agencies, and the public.
Qualifications
  • Valid driver's license and up-to-date vehicle insurance.
  • Use of personal automobile for local job-related travel and pick-up.
  • Neat, clean, and appropriate appearance.
  • Meet Prism Criminal Background & Credit Check prior to employment.
  • Successful completion of EasyLMS Training Program upon employment.
