We are seeking an Program Specialist to provide administrative support for Bull City Fit and North Duke Street food bank. Bull City Fit is a fitness program for children and families seen in the Duke pediatric obesity clinic (Healthy Lifestyles). It is located in the community at a Parks and Recreation Facility and hours of operation are 2-3 weekdays 6-8pm and Saturdays 1-3pm. The administrative assistant receives referrals from the Healthy Lifestyles clinic, contacts families to sign them up, runs orientations at the site, coordinates staff members and volunteers who help the coordinator on-site supervise activities, and works with the Healthy Lifestyles staff to ensure safety and to implement improvements. The Bull City Fit administrative assistant should be able and willing to engage directly with children in physical activities and have strong interest in working with disadvantaged populations.
Serve as the Administrative Assistant for Healthy Lifestyles’ Bull City Fit program and related Healthy Lifestyles projects and for the North Duke Street Food Market, an on-site food pantry for patients and families served by Duke Children’s and Internal Medicine in partnership with the NC Food Bank.
Perform excellent service to Bull City Fit participants, student staff, volunteers, and Healthy Lifestyles team. Provide financial, organizational and administrative support to Healthy Lifestyles/Bull City Fit.

REPORTING RELATIONSHIP
This position will report to Duke Children’s and Internal Medicine Health Center Administrator, for all duties related to Healthy Lifestyles/ Bull City Fit/ Food Market. Performance reviews will be done by the Health Center Administrator with input from the Healthy Lifestyles Medical Director and the Duke Children’s and Internal Medicine Site Medical Director.
JOB DUTIES
BULL CITY FIT ADMINSTRATIVE SUPPORT
- Conduct volunteer recruitment and training at Duke and area universities
- Manage staff and volunteer schedules to ensure daily coverage at Bull City Fit
- Coordinate daily programming schedules and revise, update as needed
- Oversee communications with participant families, including weekly email alerts, Facebook and Twitter updates
- Maintain and update Bull City Fit website as needed
- Check and respond to messages in the BCF email inbox and voice mail
- Assist with event planning – prepare flyers, reserve space, order food, help with set-up/ take-down
- Purchase, pick up and transport supplies as needed
- Create flyers and other handouts as needed
- Compile and maintain BCF curricula documents
- Maintain inventory of BCF program supplies – clean, organize, submit repair request as needed
- Process purchasing expenses for Bull City Fit and other Healthy Lifestyles/Obesity Research initiatives
- Manage Bull City Fit web page and virtual content
BULL CITY FIT ON-SITE SUPPORT
- Serve as lead on-site staff at Bull City Fit, coordinating schedules and program changes
- Serve as liaison with Durham Parks and Recreation on-site staff
- Facilitate BCF activities for participants
- Ensure BCF safety and incident reporting protocols are followed
- Oversee enrollment of new members into the BCF program
NORTH DUKE STREET FOOD MARKET
The North Duke Street Food Market is an on-site resource to address food insecurity for patients served by the Duke Children’s and Internal Medicine practice. It provides immediate, direct access to healthy non-perishable food for patients and families. It operates as a partnership with the Food Bank of Central & Eastern North Carolina. The food bags also include lists for additional food resources sponsored by the community, schools and federal government.
- Serve as on-site coordinator for the North Duke Street Food Market being the point person for food ordering, delivery, stocking, and distribution.
- Communicate with clinic staff and providers about Food Market protocols, supply status and utilization.
- Serve as primary liaison with the NC Food Bank leadership for the practice including keeping up to date on training, protocols, site visits and reporting requirements.
- Submit food orders monthly to the NC Food Bank for delivery.
- Coordinate delivery days (once per month) and stock the Food Market shelves using FIFO method (First In, First Out).
- Make food bags about 3 days a week to ensure appropriate supply of pre-made bags in designated areas of clinic.
- Maintain supply of Food Market patient surveys and list of food resources to be included in food bags.
- Submit monthly totals of clinic food utilization on NC Food Bank Food Link website

REQUIRED QUALIFICATIONS
· Work requires analytical, communications and organizational skills generally acquired through completion of a bachelor's degree program with one year of experience in program administration or event production.

· Two years of postsecondary education with three years of experience in program administration or event production.
· OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE

· Basic/intermediate graphic design (Adobe Photoshop/Indesign)
· Word, Excel, Outlook, Windows Explorer, Power point, iContact
