Overview:
The Accounts Receivable Supervisor is responsible for managing the ledger balances (city, guest & advanced deposit) for the Cavalier Resort.
Responsibilities:
- General oversight of payment collection on contracted business
- Maintains working relationships with sales team and front desk
- Maintains professional relationships with new and repeat clients
- Ensure positive guest satisfaction to ensure repeat business
- Monitor and report and all direct bill/ City Ledger receivables monthly to Director of Finance
- Prepare and provide weekly Accounts Receivable updates on all accounts over sixty (60) days to property management Coordinate with property Sales, Banquet and Front Desk teams to prepare and send out Group and Banquet billings within seventy two (72) hours after the event
- For Resort Contracts, compile billing from all applicable properties and provide client one bill
- Circulate and track all direct billing applications for and approvals. Applications and re-applications to be tracked on Direct Billing by Client report
- Coordinate all past due notifications on accounts over 30, 60, and 90 days past due Coordinate and legal actions with Director of Finance
- Circulate Request for Write Off of Accounts Receivable form to appropriate parties
- Monitor and manage all Franchise Programs and related collections with assistance from Front Office management as needed
- Monitor accounts for our Cavalier and 42 Ocean residents to remain current
- Monitor Deposit schedules to ensure payment is collected for upcoming events
- Post payments received through property management systems (PMS)
- Review and confirm sales contracts with Sales Management
- Attend property line ups and other property meetings as appropriate or as requested
- Circulate Request for Write Off of Accounts Receivable form to appropriate parties
- Monitor guest ledger for open balances and work with front desk to keep current
- Track deposits and payment for Resort contracts at multiple properties
- Work with Revenue team to ensure accounts are built and routing is accurate
- Maintain Tax Exempt support
- Reporting and research as needed and requested by Director of Finance
- Direct oversight of accounts receivable coordinator
