Summary of Position:

Under the general supervision of the Director of Operations, the Practice Administrator is responsible for the day-to-day operation of a large medical practice, independently and with minimum supervision. Leading staff and maximizing patient satisfaction is the Practice Administrator’s primary objective.


Responsibilities:

  • Ensures the smooth running of a medical practice on a day-to-day basis and manages a team of managers, supervisors, and support staff.
  • Reviews appointment schedule to ensure that appointments are scheduled appropriately.
  • Ensures that complete and accurate information is provided to the billing department for timely processing of bills.
  • Ensures that messages are relayed to the physicians in a timely manner.
  • Ensures phones are answered promptly and in a professional manner.
  • Ensures an adequate supply of clinical and office supplies.
  • Serves as a liaison between unit and senior administration for the purpose of assessing operational concerns, implementing policies and procedures, maintaining appropriate staffing levels, etc.
  • Maintains log of daily patient visit statistics. Maintains patient satisfaction.
  • Handles patient complaints. Informs physicians or Director of Operations when problems are not rectified.
  • Maintains patient confidentiality.
  • Consistently courteous and considerate in person and on the telephone, in interactions with patients and their families and ensures that the front desk staff follow the same rules.
  • Listens, acknowledges, and responds to the patients' issues and problems. Demonstrates the desire to help resolve the situation.
  • Observes ProHEALTH rules, policies and regulations with regard to the following: attendance and punctuality, courtesy and respect for co- workers, attitude and appearance.
  • Displays understanding of all job functions performed by managers, supervisors, and support staff. Proactively assists as needed.
  • Perform other job related duties as assigned

Qualifications:

  • 3-5 years management experience in the medical field.
  • Knowledge of managed care companies and other insurance carriers
  • Strong customer service skills.
  • Strong computer literacy
