Job Purpose

If you are looking for a place where you can make a difference in the life of a child, Project Harmony is looking for you. We are seeking an experienced and committed Donor Data Administrative Specialist to join our dynamic and innovative organization. The Donor Data Administrative Specialist works under the direction of the Senior Director of Development and is a member of the Development Team of Project Harmony. This position serves as a key role in the Development Department with processing of donations and donor acknowledgement, data recording and tracking. This individual will be responsible for financial reporting and mail list coordination and extraction. The Donor Data Administrative Specialist must have the ability to work independently, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.


Essential Duties and Responsibilities

Raiser’s Edge (NXT):

  • Manage day-to-day administration of Raiser’s Edge database: including data/gift entry, creating dashboards, reporting and list outputs, donor portfolio management, maintaining procedures to ensure accuracy of all data and gifts, recognition, and financial reports.
  • Produce donor acknowledgements and request letters in a timely manner for in-kind, event and standard donations.
  • Serve as Raiser’s Edge Expert and train staff, as needed. Serve as liaison, with Director of IT, between Blackbaud and Project Harmony and keep staff informed on changes, updates and system advancements.
  • Work with Development Team to maximize usage of donor database to further Project Harmony’s fundraising objectives.
  • Execute list segmentation queries and prepare final mailing lists for Donor Development mail and email campaigns.
  • Maintain and improve existing systems and processes to provide efficient gift processing and acknowledgement.
  • Develop data entry guidelines and procedures and create a working document for all staff using the database.
  • Maintain guest lists, gather and prepare registration materials and other duties as assigned for fundraising events.
  • Effectively work with the Finance/Development Teams to produce accurate reports and donation reconciliations.

Administrative:

  • Assist with meetings and events (e.g., set-up/clean-up, agendas, minutes, registrations, budgets, etc.).
  • Assist with donations as needed by Development Team.
  • Assist with volunteers as needed by Development Team.
  • Order office supplies and organize work room with Operations Administrative Staff.
  • Participate in designated program and agency-related meetings as needed.
  • Other duties as assigned by Development Team, Senior Director of Development and Executive Director


Requirements

Education and Training

  • Bachelor’s degree or equivalent experience preferred.
  • Knowledge of the operation of standard office equipment.
  • Knowledge of clerical and administrative procedures and systems such as data entry, filing and recordkeeping.

Work Experience

Must possess a minimum of two (2) years of previous professional experience related to using a donor tracking database and administrative duties.


Required Knowledge and Skills

  • Excellent computer skills using Microsoft Office Suite.
  • Strong knowledge of Raiser’s Edge software preferred, with experience performing queries, mail list pulls and analytical reports.
  • Strong editing skills; meticulous grammar and spelling.
  • Excellent communications skills (written, verbal and active listening).
  • Ability to work collaboratively with co-workers, business partners, donors, volunteers, etc.
  • Must be a self-starter and able to work independently as well as part of a team.
  • Ability to handle multiple projects simultaneously with attention to detail and accuracy while adhering to deadlines in a fast-paced environment.
  • Excellent organizational and time management skills.
  • Demonstrate a high level of professionalism, confidence and ethical standards.
  • Strong problem solving and decision-making skills.
  • Exceptional work ethic.
  • Must respect and maintain confidentiality.

Other

  • Must be able to lift and/or move up to 20 pounds within/outside the organization.
  • Must be willing to work flexible hours, occasionally working evenings and weekends.
  • Must submit to a thorough criminal history background check.
  • Must possess the ability to pass a fingerprint clearance.
  • Must have access to a vehicle, possess a valid driver’s license and proof of insurance.
