Project Optimism, Inc. is a community based non-profit organization designed to foster optimism through personal development curriculums and community engagement. This is done through uniting community members in an effort to implement various services to meet the unique needs of the community. This includes K-12 curriculums, workshops coordination of community service projects, and coordination of charitable fundraising events for various causes. Project Optimism’s mission is to be the catalyst that will properly equip community members with an optimistic mindset, to be productive contributors to society.
Position Description
We are looking for a versatile and dynamic specialist who is committed to identifying innovative strategies to support staff within our fast growing non-profit organization. This role is crucial for managing our human resources functions and providing administrative support to our executive team. The ideal candidate is someone who thrives in a multifaceted role, demonstrating a strong foundation in HR practices coupled with exceptional administrative skills. Essential Duties and Responsibilities
Human Resources - 80% of time allocated
- Oversee the entire recruitment cycle, ensuring a smooth and efficient process from job posting to onboarding.
- Serve as the primary liaison for employee relations, handling inquiries, and guiding corrective actions in alignment with our values and compliance requirements.
- Maintain comprehensive employee records and manage HR processes with a focus on accuracy and confidentiality.
- Coordinate training and development initiatives, supporting continuous learning and skill enhancement of our team.
- Ensure adherence to all legal and regulatory employment standards, proactively updating policies and practices to remain compliant.
- Engage in meaningful HR projects, including audits, benefits administration, and the development of strategies to enhance workplace culture.
- Other duties as assigned
Administrative Operations - 20% of estimated time allocated
- Provide executive support, managing schedules, coordinating meetings, and handling travel arrangements with efficiency and discretion.
- Act as a pivotal communication bridge between the executive team and internal/external stakeholders, ensuring seamless information flow.
- Organize and maintain both electronic and physical filing systems for optimal information management.
- Support executive decision-making with research, data analysis, and the preparation of reports and presentations.
- Other duties as assigned.
Skills/Competencies
- Demonstrated proficiency in HR practices, including recruitment, employee relations, and compliance management.
- Strong administrative skills with an ability to manage executive support tasks effectively
- Excellent communication and interpersonal skills, with a capacity to interact professionally across diverse groups.
- Strategic and analytical thinker, capable of creating systems to support organizational efficiency and growth.
- Advanced proficiency in HRIS, ATS, and Microsoft Office Suite, alongside the ability to quickly adapt to new technologies.
- A commitment to service and a practice of cultural humility, valuing diversity and inclusion in every aspect of work.
Minimum Qualifications
- 2-5 years of HR experience, ideally in a generalist role or similar.
- Bachelor’s degree in Human Resources, Business Administration, or related field preferred.
- Knowledge of employment laws and HR best practices.
- Ability to manage sensitive information with the highest level of confidentiality and discretion.
- Physical ability to lift up to 50lbs as needed.
- Must successfully complete required background checks and screenings.
- Valid California Class C Driver License preferred, with minimal travel requirements.
