What are the responsibilities and job description for the Install Scheduling Coordinator position at Project Solar?

Position Overview: The Scheduling Coordinator is responsible for organizing and scheduling installs with the homeowner and the installer. The main role is to ensure that all needed documents and events are properly planned, scheduled and coordinated with all parties to maximize efficiency and accuracy. This also includes coordinating with our supply chain to ensure the material is where it needs to be. 


This person will be on the Build Partner team and will report to the Scheduling Manager. 


Responsibilities:

  • Scheduling and Planning: The coordinator will create and maintain a schedule with the homeowner and installer to ensure a smooth installation. 
  • Spreadsheet Management: The coordinator needs to create a sheet to be shared with the installer to track all jobs that are given to a specific installer, sharing all relevant information about the jobs. 
  • Internal Communication: The coordinator is expected to communicate internally with different departments to ensure all documents are accounted for, the project has been paid for, and all material has been delivered. 
  • Problem Solving: The coordinator must be able to handle scheduling conflicts or unexpected changes and must communicate changes with all parties internally and externally. They should be proactive in finding a solution to the problems that arise. 
  • Process Changes: Coordinators are responsible for identifying process flaws and changes that need to be made to the system to improve productivity and to reduce conflict in the schedule and day of install. 
  • Customer Service: The coordinator is expected to communicate the install date to the homeowner and ensure all of their questions are answered before the day of installation and that clear expectations for the day of installation are established. 


Qualifications/Requirements:

  • Organization: We need someone with strong organization skills to ensure that we get the jobs scheduled accurately and avoid costly mistakes. 
  • Attention to Detail: Solar has so many moving parts. We need someone who can pay attention to the small details of a job so we do not have any day of install issues or cause any mistakes that will affect the next department that touches the account. 
  • Excellent Communication Skills: Communication is a big part of this role. We have to keep seamless communication with the installers and homeowners. Internally we communicate on a daily basis with internal departments so it is key to be a strong communicator.
  • Work Well Under Pressure/Problem Solving: Issues arise during the solar process that may be stressful and require decisions to be made quickly. We need each Install Coordinator to respond appropriately to day of install urgent calls and to resolve problems quickly. 
  • Solar Knowledge: It is helpful, but not required to have solar experience. We can coach the right person to do the job. 


Measurements of Success in First 90 Days:

  • Building Relationships with their Installers: We need coordinators to be communicating and setting up regular meetings with the installer.
  • Time to Install: We need the coordinator to be following defined metrics for the time it takes from when a job is ready to be installed to when the job is scheduled. 
  • Customer Communication: The coordinator should be communicating to the customer accurately and promptly.
