Promise Hotels is a community minded hotel management company based in Tulsa, Oklahoma that staffs over 200 associates in the area. Through these associates and team members we are the leaders in the hospitality industry in areas of acquisitions, development and rebranding. We are proud of not only developing and creating new hotels, but being able to be “turnaround specialists” for distressed properties. We take pride in our ability identify, acquire, grow, and protect assets.

Currently, we own and operate nine hotel properties in the Tulsa area market, providing over 775 rooms. We hold franchise licenses with top franchise companies including, Hilton Hotels Corporation, Intercontinental Hotels Group, and Wyndam Worldwide. Our brands have included Curio Collection, Hilton Garden, Home2 Suites, Hampton Inn, Tru by Hilton, Holiday Inn Express, Hyatt Place.

Promise Hotels is seeking a highly motivated and detail-oriented individual to join our corporate office as an Assistant/Support Specialist. In this fast-paced role, you will provide invaluable support to our CEO, CFO, and Controller, freeing them to focus on strategic initiatives.

Responsibilities:

  • Provide administrative support: Manage calendars, schedule meetings, and travel arrangements for the CEO, and CFO.
  • Coordinate communication: Screen calls and emails, draft and manage correspondence, and ensure timely responses to inquiries.
  • Assist with projects: Manage and complete assigned projects related to office operations, finance, and administration.
  • Run errands and handle personal tasks: Discreetly handle personal and professional errands for the executives, ensuring confidentiality and efficiency.
  • Maintain exceptional organization: Develop and implement filing systems, manage expense reports, and ensure smooth office operations.
  • Stay up-to-date on industry trends: Proactively research industry news and developments relevant to the CEO, CFO, and Controller.
  • Get it done. Take an ambiguous task, break it down, come up with solutions, and execute.
  • Prepare briefings. Help CEO/CFO prepare for meetings and deliverables.
  • Planning and organization. Make sure CEO/CFO meetings have an agenda, have clear follow-ups and assignees, follow up progress is tracked post-meeting, and outcomes communicated.
  • Manage the CEO/CFO schedule and act as a liaison to clients and the team. Make sure the CEO/CFO time is allocated to things that have the most impact on the company.
  • Run random errands for the company and CEO/CFO.

Qualifications:

  • Minimum 3-5 years of experience in a fast-paced administrative role, preferably within the hotel or real estate industry.
  • Proven ability to manage multiple priorities simultaneously and work independently with minimal supervision.
  • Strong organizational skills with a meticulous attention to detail.
  • Excellent written and verbal communication skills, with the ability to adapt communication style to different audiences.
  • Proficiency in Microsoft Office Suite and other relevant software.
  • Discretion, professionalism, and a strong work ethic.
  • Understanding of hotel and/or real estate industry terminology and operations a plus.
  • Master of using the phone and Google to get stuff done.
  • Expert in learning. You can quickly become an expert in new topics and then teach everyone else.
  • High IQ, EQ, and drive.
  • Curious. Notices interesting things and figures out why.
  • Car. Reliable transport, a driver’s license, and safe driving record.
  • Experience. Nice, but not necessary. We believe smart enthusiastic > experience.

Job Type: Full-time

Pay: $14.12 - $15.14 per hour

Expected hours: 35 – 45 per week
